Position Overview:
Fontenot Law, P.C. is growing, and we're looking for a second Intake Specialist / Receptionist to join our team. This role also offers the opportunity to gain experience as an Administrative Assistant, providing hands-on exposure to the business side of a law firm. Fontenot Law, based in Woods Cross, Davis County, strives to be the go-to firm for family law, as well as estate litigation and personal injury cases in Utah. We are an expanding firm in search of a proactive individual who is eager to contribute to and support the firm's growth. As the first point of contact for our law firm, you will play a crucial role in creating a positive impression and providing exceptional customer service to our clients. Your role is pivotal in ensuring that clients and potential clients feel deeply cared for, especially during what may be one of the most challenging periods in their lives. In addition to managing incoming calls and greeting visitors, you will be responsible for intake procedures, ensuring that all necessary information is collected accurately and efficiently, along with other clerical office tasks. This position is ideal for individuals who are eager to gain hands-on experience in business development and want exposure to how a law firm operates and grows. You will have the opportunity to contribute to a small but rapidly expanding firm and gain insight into its operational and client-facing systems.
Key Responsibilities:
Answer and direct incoming phone calls, take detailed messages, and provide excellent client service. Conduct client intake for new leads, ensuring accurate and complete information is captured. Send representation agreements and coordinate onboarding for new clients. Manage incoming and outgoing mail, including scanning, mailing, and organizing documents. Assist the Office Manager and Administrative Office Specialist with business-related tasks. Assist with data collection, entry, and updates to internal tracking systems. Support general office operations to ensure efficiency and workflow. Collaborate with team members to improve processes and client experience. Maintain a clean and organized office environment.
Qualifications:
Previous experience in administrative, receptionist, customer service, or intake roles preferred. Some post-secondary education preferred. Interest in law and/or business development preferred. Excellent communication and interpersonal skills. Friendly, energetic, and professional demeanor. Compassionate and empathetic approach with clients. Resilient and able to handle feedback and stressful situations professionally. Reliable with consistent attendance, especially during the initial period of employment. Fast and accurate typing skills. Strong organizational skills and attention to detail. Ability to manage and prioritize a detailed to-do list. Ability to multitask in a fast-paced environment. Proficiency in Microsoft Office (Word, Excel, Outlook). Ability to quickly learn new systems and intake processes. Familiarity with office equipment such as multi-line phones and printers.
Compensation and Benefits:
Base pay: $18.00/hour. Potential monthly bonus based on new client retention. Health insurance (available immediately upon hire; excludes dental and vision). 401(k) with matching (after three months, if employment continues). Paid time off (after three months, if employment continues).
Note:
Eligibility for certain benefits is contingent upon continued employment beyond the temporary period.
