Position Summary The Front Desk Coordinator is the first impression of our practice and plays a vital role in creating an exceptional patient experience. This individual is responsible for warmly welcoming patients, ensuring all registration and documentation are complete and accurate, managing communication channels, and supporting the practice's marketing efforts. The ideal candidate is friendly, organized, detail-oriented, and passionate about delivering outstanding customer service. Key Responsibilities Patient Experience Greet every patient with a warm, friendly, and professional attitude. Create a welcoming environment that makes every patient feel valued and comfortable. Provide excellent customer service from check-in through departure. Assist patients with questions and ensure a positive first and lasting impression. Patient Registration & Documentation Verify that all required patient paperwork is completed accurately before appointments. Scan and upload all patient forms, insurance information, and supporting documentation into eClinicalWorks (eCW). Maintain accurate and organized electronic patient records. Ensure patient demographic and insurance information is current. Communication Management Answer incoming phone calls promptly, professionally, and courteously. Route calls appropriately or take accurate messages for team members. Monitor the practice email inbox and text messaging platform throughout the day. Respond to messages assigned to you in a timely manner. Triage and assign messages to the appropriate team members when necessary to ensure efficient communication and follow-up. Patient Engagement & Reputation Management Identify patients who qualify to leave a Google Review and confidently invite them to share their experience. Educate patients on the importance of online reviews in helping other families find our practice. Support initiatives that enhance patient satisfaction and strengthen the practice's online reputation. Marketing & Social Media Support Contribute creative ideas for social media content, community outreach, and internal marketing campaigns. Capture appropriate photos, videos, or patient success stories (with proper consent) for marketing purposes. Help promote practice events, community involvement, and special promotions. Work collaboratively with the team to enhance the practice's visibility and patient experience. Team Collaboration Communicate effectively with doctors and team members to ensure seamless patient care. Assist with administrative tasks as needed to support daily office operations. Maintain confidentiality and comply with HIPAA regulations at all times. Demonstrate professionalism, positivity, and a team-first attitude. Requirements At least 2+ work experience in a Medical or Dental facility Experience with EMR system, eClinicalWorks is preferred. Computer skills. Fast, accurate typing skills Multitask, Responsible / reliable. Strong attention to details.
