Job Description

Position Summary The Receptionist serves as the first point of contact for agents, clients, vendors, and visitors at Samson Properties. This position is responsible for creating a welcoming and professional office environment while providing front-desk coverage and basic administrative support to ensure the office operates smoothly. Key Responsibilities Front Desk & Customer Service Greet agents, clients, vendors, and visitors in a friendly and professional manner. Answer incoming phone calls and direct callers to the appropriate person or department. Assist visitors with general questions and notify staff or agents when their appointments arrive. Maintain a professional, clean, and organized reception area. Provide excellent customer service and represent Samson Properties in a positive and professional manner. Agent & Office Support Assist agents with general office-related questions and direct them to the appropriate department when additional assistance is needed. Provide basic guidance regarding office resources, contacts, and procedures. Assist agents with locating forms, supplies, office equipment, and other available resources. Communicate office announcements and important information as directed by management. Provide general clerical and administrative assistance to office management as needed. Office Coordination Manage conference room reservations and assist with scheduling as needed. Receive, sort, and distribute incoming mail and packages. Prepare outgoing mail and packages for pickup or delivery. Receive office deliveries and ensure items are provided to the appropriate person. Monitor office supply levels and submit or communicate supply needs according to company procedures. Help maintain the appearance and organization of common areas, including the reception area, conference rooms, kitchen, and supply areas. Report maintenance, equipment, technology, or facility concerns to the appropriate department. Meetings & Office Activities Assist with preparing conference rooms for meetings, trainings, and office events. Help ensure meeting spaces are clean and ready before and after scheduled use. Assist management with basic coordination of office meetings, trainings, and events as requested. Help welcome new agents and provide basic information regarding the office and available resources. Qualifications & Skills Strong customer service and interpersonal skills. Professional and friendly demeanor. Excellent verbal and written communication skills. Strong organizational skills and attention to detail. Ability to manage multiple tasks and priorities in a busy office environment. Comfortable answering multi-line phones and communicating with clients, agents, vendors, and staff. Basic proficiency with Microsoft Office, email, calendars, and general office technology. Ability to work independently while also contributing as part of a team. Dependable, punctual, and professional.
