Our front desk team plays a essential role in creating an exceptional patient experience. As one of the first and last points of contact for our patients, this position requires professionalism, warmth, accuracy, strong communication skills, and the ability to work efficiently in a busy optometry practice. We are looking for someone who enjoys helping people, works well as part of a team, take initiative, and understands that attention to detail is critical in a healthcare environment.
Key Responsibilities:
Welcome and check patients in, in a warm, professional manner Verify patient demographics, contact information, insurance information, and required documentation at each visit. Schedule, confirm, reschedule, and coordinate patient appointment while maintaining an efficient provider schedule. Answer incoming telephone calls professionally and assist patients with scheduling, general questions, messages, and appropriate routing of calls. Review patient accounts, collect copays, outstanding balances, and other amounts due at the appropriate time. Accurately document payments and provided receipts when applicable Verify Vision and medical Insurance eligibility and benefits as required. Communicate clearly with patients regarding office policies, appointment expectations, insurance benefits, and financial responsibilities Assist with contact lens pickups and ensure outstanding balances are reviewed and collected when applicable. Maintain accurate patient information within EHR Scan/Upload/efax and appropriately route patient documents and correspondence Work collaboratively with doctors, technicians, opticians, contact lens staff, and fellow front desk team members to maintain efficient patient flow. Skills Previous medical, optometry, ophthalmology, or healthcare front desk experience is preferred, but not a requirement Excellent phone etiquette with experience managing multi-line phone systems Experience with patient scheduling, insurance verification, and collecting patient balance is preferred, but not a requirement Excellent customer service and interpersonal skills Professional and compassionate communication style, both in person and over the telephone. Strong attention to detail and commitment to accuracy. Ability to multitask and prioritize responsibilities in a fast paced environment without sacrificing patient service. Comfortable learning and using electronic health records, Practice management systems, insurance portals, and other computer applications. Strong computer and data skills. Dependable, punctual, and able to work effectively as part of a team. Ability to handle confidential and sensitive patient information appropriately. Willingness to learn, accept feedback, and adapt to changing needs of the practice.
