Overview We are seeking a dynamic and organized Front Desk Operations professional to serve as the welcoming face of our organization. This role is essential in creating a positive first impression for visitors, clients, and staff while ensuring smooth administrative and clerical functions. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills to manage multiple responsibilities efficiently. Your proactive approach will help maintain an organized, professional environment that supports our team's success and enhances overall office operations. Duties Greet patients, clients, and vendors warmly, providing exceptional customer service and ensuring a positive experience from the moment they arrive Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette Handle front desk responsibilities such as checking in patients, managing appointments, and maintaining clear communications Perform data entry tasks with high accuracy using computer skills, including Microsoft Office and Google Workspace applications Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents and records Support office management by coordinating calendar appointments, scheduling meetings, and managing time-sensitive tasks Assist with clerical duties such as proofreading documents, preparing correspondence Provide administrative support including copying, scanning, faxing, and managing office supplies to ensure operational efficiency Offer customer support by addressing inquiries promptly and professionally via phone or email Uphold high standards of professionalism in all interactions while maintaining confidentiality and data security Requirements Experience in administrative roles with strong clerical skills Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and basic computer literacy Experience operating multi-line phone systems with professional phone etiquette Bilingual abilities are highly desirable to serve diverse client needs effectively Prior experience as a dental or medical receptionist is a plus; personal assistant experience is also valuable Strong typing skills with attention to detail for proofreading and data entry tasks Exceptional customer service skills with a friendly demeanor and positive attitude Ability to manage calendars efficiently and prioritize tasks effectively using time management techniques Join us in delivering outstanding front desk operations that set the tone for our organization's success!
