The position maintains reliable reception coverage, supports general office administration, coordinates assigned compliance tracking, and assists departments based on company priorities and workload. The role reports to the General Manager and provides cross-functional administrative support without assuming the ownership, authority, or decision-making responsibilities of the departments it assists. Key ResponsibilitiesReception & Front Office Serve as the primary receptionist and maintain professional, reliable front-office coverage during assigned working hours. Answer, screen, route, and document incoming calls appropriately and ensure messages reach the correct person or department. Welcome visitors, vendors, applicants, customers, and other guests and direct them appropriately. Receive, sort, distribute, and coordinate incoming and outgoing mail, packages, deliveries, and general correspondence. Maintain an orderly, professional, and welcoming reception and common office environment. Office Administration Coordinate office supplies, routine administrative vendors, general office records, and other assigned office needs. Prepare, organize, scan, file, distribute, and maintain administrative documents and records as assigned. Support the General Manager with administrative follow-up, information gathering, scheduling coordination, and other assigned company priorities. Maintain confidentiality and exercise appropriate judgment when handling company, employee, customer, vendor, or financial information. Compliance Administration & Tracking Coordinate and maintain assigned company-wide administrative compliance calendars, records, renewals, documentation, and required submissions. Track upcoming deadlines and follow up with the department or functional owner responsible for providing information, completing requirements, or making decisions. Escalate unresolved, overdue, or upcoming compliance requirements to the General Manager in sufficient time for appropriate action. Provide administrative support for compliance activities without replacing the subject-matter ownership of HR, Accounting, Operations, IT, or other responsible functions. Cross-Functional Administrative Support Provide flexible cross-functional administrative support based on company priorities, workload, and direction from the General Manager. Assist departments with administrative tasks such as data entry, document preparation, record organization, information gathering, follow-up, and coordination when capacity permits. Ensure responsibility, approvals, technical judgment, employee-management decisions, financial decisions, and operational ownership remain with the appropriate department or functional owner. Coordinate with department managers, supervisors, HR, IT, Accounting, Service, Installation, and Estimating as necessary to complete assigned administrative support. Process & Systems Support Follow established company processes and use assigned systems accurately and consistently. Provide practical administrative input when processes affecting reception, office administration, compliance tracking, or assigned support work are being calibrated. Support implementation of approved processes and maintain required records, trackers, or administrative documentation. Performance Expectations Reception responsibilities remain the first priority and are maintained consistently while other administrative support is performed. Calls, visitors, correspondence, deliveries, and administrative requests are handled professionally and routed promptly. Assigned compliance deadlines, records, renewals, and follow-up items are tracked accurately and escalated appropriately. Cross-functional support is responsive and useful without creating confusion regarding departmental ownership or chain of command. Administrative records and company information are accurate, organized, secure, and handled confidentially.
