Job Description
Job Overview We are seeking a professional and organized Receptionist / Office Support to join our team. This role is vital in maintaining smooth office operations, providing exceptional customer service, and supporting administrative functions. The ideal candidate will be proficient in office management, possess excellent communication skills, and be comfortable handling multiple responsibilities in a fast-paced environment. Bilingual abilities and experience with various office software are highly valued to ensure efficient support across departments. Responsibilities Greet visitors and clients at the front desk with professionalism and courtesy Manage multi-line phone systems, screen calls, and direct inquiries appropriately Handle incoming and outgoing correspondence, including emails and mail distribution Maintain appointment calendars, schedule meetings, and coordinate calendar management Perform data entry, filing, and document proofreading to ensure accuracy and organization Utilize Microsoft Office Suite, Google Workspace, and other relevant software for administrative tasks Support bookkeeping activities using QuickBooks or similar accounting tools Assist with office management duties such as supply inventory, order processing, and general clerical support Provide customer support by addressing inquiries promptly and professionally Maintain a clean and organized reception area to foster a welcoming environment Skills Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Experience with front desk operations, multi-line phone systems, and office management software Excellent organizational skills with the ability to prioritize tasks effectively Bilingual communication skills are a plus for serving diverse clients and staff Demonstrated customer service excellence with professional phone etiquette and interpersonal skills Attention to detail in proofreading, data entry, filing, and document management Ability to handle administrative responsibilities such as calendar management, scheduling, and bookkeeping (QuickBooks experience preferred) Strong time management skills to meet deadlines efficiently Previous clerical or office experience is highly desirable; experience in medical or dental reception is a plus This position offers an opportunity to be an integral part of a dynamic team while developing valuable administrative skills in a supportive environment.
Pay:
