Overview We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! The ideal candidate will be a proactive communicator with excellent organizational skills, ready to handle a variety of administrative tasks with enthusiasm and professionalism. Duties Greet visitors, clients, and vendors with friendly, professional phone etiquette and ensure they feel welcomed. Manage multi-line phone systems, screen calls, and direct inquiries efficiently to the appropriate departments or personnel. Handle front desk responsibilities including scheduling appointments, maintaining calendars, and coordinating meetings. Perform data entry tasks using productivity software such as Microsoft Office, Google Workspace, and spreadsheets to keep records accurate and up-to-date. Maintain organized filing systems, both physical and digital, ensuring easy access to important documents. Assist with office management duties including supply inventory, filing, and basic bookkeeping using QuickBooks or similar software. Provide exceptional customer support by addressing inquiries promptly and professionally via phone or email. Qualifications Proven experience in office administration or reception roles, preferably within medical or dental environments. Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, spreadsheets, and data entry tools. Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting. Exceptional communication skills, including phone etiquette and client communication. Familiarity with office management systems such as multi-line phone systems and calendar management tools. Previous experience with bookkeeping, proofing documents, or handling clerical tasks is a plus.
