Job Description

We are seeking a dependable, organized, and patient-focused Scheduler / Front Desk Receptionist to join our busy OBGYN practice. This position plays an important role in creating a positive patient experience while keeping the front office and provider schedules running efficiently. The ideal candidate is comfortable working in a fast-paced medical office, communicates professionally, handles competing priorities well, and understands the importance of accuracy, confidentiality, and compassionate patient service.
Key Responsibilities:
Answer incoming phone calls and assist patients professionally and efficiently Schedule, reschedule, and cancel patient appointments Coordinate provider schedules and ensure appointments are booked appropriately Check patients in and out for appointments Verify and update patient demographic and insurance information Collect copays, outstanding balances, and other patient payments as appropriate Monitor provider schedules and communicate delays, changes, or scheduling concerns Assist patients with forms, portal access, appointment questions, and general office information Route messages to clinical staff, billing, providers, or other departments as appropriate Work with referrals, medical records, and clinical staff to coordinate patient care Maintain accurate documentation in the electronic medical record Help manage documents, and front-office correspondence Maintain patient confidentiality and follow HIPAA requirements Provide courteous and compassionate service to patients in person and over the phone Support other front-office and administrative duties as needed
Qualifications:
Previous medical office, scheduling, or front desk experience preferred OBGYN or women's health experience is highly preferred Experience working with ECW (EMR/EHR) system preferred Strong computer and data-entry skills Excellent telephone etiquette and customer service skills Strong attention to detail and organizational skills Ability to multitask and remain composed in a busy environment Ability to communicate professionally with patients, providers, and coworkers Reliable attendance and strong work ethic Understanding of HIPAA and patient confidentiality requirements
What We Are Looking For:
We are looking for someone who is reliable, proactive, organized, and comfortable taking ownership of their responsibilities. Our office can be very busy, so the successful candidate must be able to prioritize tasks, communicate clearly, and move between phone calls, scheduling, patient check-in, and administrative responsibilities without losing attention to detail. Because we are an OBGYN practice, compassion and professionalism are especially important. Our patients may be navigating pregnancy, fertility concerns, procedures, surgery, pregnancy loss, menopause, or other sensitive healthcare needs. We expect every patient interaction to be handled with respect and discretion. Schedule Full-Time Monday-Friday [Insert typical office hours] Some schedule flexibility may be required based on clinic needs. Compensation will be based on experience.

Experience/Preferred:
Medical receptionist/front desk: 1+ year Medical scheduling: 1+ year OBGYN or specialty medical practice experience
