This position is available immediately. Summary This job is a unique balance bringing together the skills of a standard office, as well as a manufacturing and a construction office environment. The position requires close attention to accuracy and detail, strong organizational skills, quick learning of products and services. and a focus on serving the customer professions with genuine care and commitment to service and detail. This position also supports the Sales and Marketing staff in the field as well as the inside sales office. Daily punctuality and full shift attendance is a must. It is a very busy office that requires employees' full commitment daily. Duties and Tasks include, but are not limited to: Answer phones; receive and accurately process orders and other requests from customers and outside sales staff; message management; accurate order entry; timely price quotes; data entries into QuickBooks or other appropriate software programs; perform all customer service activities as needed. Learn and sustain a working knowledge of all available products and services through our entire product line; assist customers with product-based and service-based questions, scheduling, and other needs as required. Provide superior customer support and accuracy in order processing at all times; provide superior phone and email communications with customers regarding orders, order status, and customer service issues. Qualify inbound customer leads and direct them to appropriate sales staff. Maintain the established recordkeeping systems. Maintain inventory of products in-house and materials replenishing as required. Maintain an accurate customer data base for all customers. Assist and frequently update the General Manager on all customer service issues or any customer concerns or complaints, change orders, or delivery changes. Resolve customer issues in a timely and effective, professional manner. Resolving customer issues to ensure accuracy and timely delivery is a priority. General office administrative duties. Learn and operate vinyl plotter to create accurate, graphically pleasing signage and images for products. Keep stock ready for use with orders as required. Monitor expected shipping and receiving dates of both inbound and outbound freight, and communicate with customers about any deviance from expected delivery dates. Liaison between sales, manufacturing, scheduling, delivery, and QC staff to ensure customer needs are met. Assist the Sales and Marketing manager and staff with events and activities as required. Willingness to learn the diversified products of the company and provide sales support to those areas as needed.
Requirements:
1+ years experience working in a construction or manufacturing plant office required Minimum High School Graduate or equivalent. Excellent verbal and written communication skills Basic math, organizational, and problem-solving skills Skilled in Microsoft Office products Basic knowledge of QuickBooks Must be able to thrive in a fast-paced, busy working environment Must be able to multi-task and shift priorities as needed at all times Demonstrate computer knowledge to allow shifting between various software and computer equipment/operating systems Inventory knowledge a plus Active Notary Public in Washington State a plus Knowledge of the construction and/or manufacturing office is essential Who we are: Automatic Wilbert Vault Company, Inc. is a 120-year-old, family owned, funeral service supplier that has diversified into manufacturing many other precast concrete products. The ideal candidate will grow into a core member of the team, building sound relationships with our customers. We are seeking candidates who are strongly adept at developing positive relationships with customers to the point that our customers call and ask for that person by name as their go-to for all their product and service needs. In addition, a full commitment to punctuality and daily attendance is a must without exception. Candidates who progress from the initial interview will be asked to meet with and observe office personnel as they work to ask questions and demonstrate office knowledge.
