In this vital role, you will manage front office operations, ensure seamless communication, and provide exceptional support to visitors, clients, and team members alike. Your proactive approach and organizational skills will help create a positive first impression and keep daily administrative tasks running smoothly. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a dynamic team environment. Responsibilities Greet visitors warmly, assist with check-in procedures, and direct them appropriately Answer multi-line phone systems promptly and professionally, providing excellent customer service Manage appointment scheduling and calendar coordination using Microsoft Office and Google Workspace tools Handle data entry tasks accurately within spreadsheets, databases, and other productivity software Maintain organized filing systems, including electronic documents and physical records Support office management activities such as supply inventory, mail distribution, and general clerical duties Assist with client communication via phone, email, or in person, ensuring clear and courteous interactions Utilize computer skills to prepare documents, proofread correspondence, and perform word processing tasks Experience Previous office experience or administrative support roles preferred but not required Familiarity with office management systems such as QuickBooks or bookkeeping experience is a plus Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and basic computer literacy required Strong organizational skills with the ability to multitask efficiently in a fast-paced environment Excellent phone etiquette and communication skills; bilingual abilities are highly desirable Experience with front desk or receptionist duties in medical or dental settings is advantageous Demonstrated ability to handle data entry accurately and manage time effectively for productivity Join us to be part of a vibrant team where your organizational talents and customer service skills will shine!
