Process Manager / Management Team Job Overview Trademark Restoration Inc. is hiring a dependable, organized Office Assistant / Receptionist to support our daily office operations. As the first point of contact for homeowners, visitors, and team members, you will help maintain a welcoming, professional office while keeping communications and job documentation accurate and organized. This position combines front desk duties, administrative support, insurance invoice follow-up, and new hire onboarding assistance. We're looking for someone who communicates clearly, pays attention to details, and follows through on tasks. Responsibilities Front Desk & Communication Answer incoming calls professionally, take accurate messages, and direct questions to the appropriate team members. Greet and assist homeowners, prospective customers, delivery personnel, and visitors. Maintain consistent front desk coverage during business hours. Create new leads and job files, enter detailed notes, and notify team members of new leads or job updates. Open the office at the start of the workday and lock and secure the building at closing. Administrative Support Check incoming mail daily and deliver it to the Process Manager. Send weekly thank-you cards to new prospects. Ensure project crews receive their paychecks as scheduled. Provide general administrative assistance as directed by management. Insurance & Final Invoice Follow-Up Follow up on final invoices submitted to insurance carriers by our estimate reviewer. Contact insurance companies to confirm receipt of invoices and obtain expected timelines for final Insurance Proceeds Worksheets (IPWs) and payments. Maintain current adjuster names and complete contact information in AccuLynx. Record detailed communication notes and invoice status updates in each job file. Upload final IPWs and related documents into the appropriate AccuLynx job files. Coordinate with our estimate reviewer and insurance carriers to resolve final invoice questions and adjustments based on the estimate and approved scope of work. Move jobs to "Invoiced" status once final IPWs have been received and verified. Office Organization & Inventory Maintain a clean, organized, and professional front desk and office environment. Complete weekly inventory checks and report supply needs to management. Keep office supplies and materials stocked and readily available. Qualifications Strong communication and customer service skills. Basic computer proficiency and accurate data entry skills. Strong organizational skills and attention to detail. Ability to prioritize tasks and multitask in a fast-paced office. Professional demeanor and a positive attitude. Reliable attendance, punctuality, and consistent follow-through.
