Job Description
Job Summary The Front Desk Coordinator serves as the external and internal "face" of Boys & Girls Clubs of Greater Milwaukee (BGCGM), providing exceptional customer service and ensuring every visitor and inquiry is handled with care and prompt attention. This role acts as the central point of communication for BGCGM activities and manages key administrative functions across the front desk, mailroom, copy room, and lobby areas and for various departments as needed. As the organization's first point of contact, the Front Desk Coordinator plays an essential role in shaping positive first impressions and supporting day-to-day operations. Additionally, this position helps screen and monitor all visitors, reinforcing BGCGM's strong commitment to safety for our youth, families, and staff. Primary Responsibilities Serves as a welcoming, professional first point of contact for staff and visitors; manages visitor check-in, assesses needs, and directs individuals to appropriate personnel while upholding safety protocols. Communicates BGCGM's mission, programs, and standards to members, families, and the public through all available channels. Maintains positive, professional, cooperative working relationships with all BGCGM stakeholders (staff, parents, youth, board members, donors), partner agencies, and the community. Answers and routes incoming calls in a courteous and professional manner; provides general information, directions, and organizational background as needed. Maintains a clean, organized, and professional reception, lobby, and mail/copy room environment. Receives and logs packages, notifies recipients, and ensures mailroom supplies are stocked. Provides administrative support to the President's Office and, as approved by the supervisor, to other departments. Provides staff support with photocopying, scanning, and printer/copier troubleshooting; monitors paper supply and serves as point of contact for related needs. Oversees the postage machine, ensuring proper postage, timely processing of outgoing mail, and adequate supplies (i.e. ink, labels). Assists Chief of Staff with preparation for in-person board and committee meetings, including room reservations, setup/take-down, and printing materials. Participates in required training as needed and completes special projects or other duties as assigned.
Skills & Experience Requirements:
Proficiency with Microsoft Office applications, including Outlook, Excel, Word, and PowerPoint. CPR certification (training provided by BGCGM upon hire). Ability to operate copier, scanner, and printer equipment (training provided by BGCGM upon hire as needed). Education Requirements High school diploma or equivalent.
