POSITION SUMMARY
The Mental Health Receptionist serves as the first point of contact for clients accessing Healthfirst Network's outpatient mental health services. This position is responsible for creating a welcoming, respectful, confidential, and trauma-informed environment while supporting efficient day-to-day clinic operations. The Mental Health Receptionist coordinates client scheduling, registration, communication, documentation, and administrative activities and works closely with mental health providers and other Healthfirst Network staff to promote timely access to care and a positive client experience.
ACCOUNTABILITIES/RESPONSIBILITIES
Greet clients and visitors in a welcoming, professional, and confidential manner. Answer and route incoming telephone calls and respond appropriately to client inquiries. Schedule, confirm, reschedule, and cancel mental health appointments. Assist clients with registration, intake paperwork, consent forms, and other required documentation. Maintain accurate and current demographic, contact, and insurance information in the electronic medical record. Verify that required forms and documentation are completed prior to or at the time of appointments. Communicate appointment information, clinic procedures, and general service information to clients. Coordinate communication between clients, mental health providers, and other members of the care team. Notify appropriate clinical staff promptly when a client communicates an urgent mental health concern or potential safety issue and follow established clinic crisis and emergency procedures. Maintain appropriate professional boundaries and recognize when client concerns require intervention by licensed clinical staff. Support provider schedules and assist in identifying scheduling conflicts, cancellations, and opportunities to improve client access. Conduct appointment reminder and follow-up communications as directed. Assist with management of referrals and ensure referral information is routed to the appropriate staff. Assist clients with accessing interpreter services and other accommodations when needed. Collect payments and provide receipts when applicable and in accordance with Healthfirst Network procedures. Scan, upload, file, and maintain client documentation within the electronic medical record. Maintain security and confidentiality of all client information in accordance with Healthfirst Network policies and applicable privacy requirements. Maintain a professional reception and waiting area. Demonstrate sensitivity and respect when interacting with individuals experiencing mental health, substance use, social, financial, or other challenges. Provide excellent customer service while maintaining a calm and professional demeanor during difficult or emotionally sensitive interactions. Understand the goals and objectives of Healthfirst Network and its outpatient mental health services. Respect the diversity of the population served and work effectively with individuals from varied cultural, socioeconomic, and personal backgrounds. Participate in required training and staff meetings. Follow Healthfirst Network policies, procedures, safety practices, and confidentiality requirements. Assist with other responsibilities as assigned.

Ability to recognize situations requiring immediate involvement of clinical staff. Ability to work collaboratively as part of an interdisciplinary team and independently when appropriate. Must exhibit strong organizational skills and attention to detail. Ability to manage multiple priorities, telephone calls, appointments, and client needs in a busy clinical environment. Knowledge of computers, electronic medical records, scheduling systems, and standard office technology. EXPERIENCE
High school diploma or equivalent required. One to three years of receptionist, administrative, customer service, or healthcare experience preferred. Previous experience in a medical, behavioral health, mental health, or human services setting preferred. Experience with electronic medical records and healthcare scheduling systems preferred. Knowledge of mental health, healthcare, nonprofit, or community resources desirable.
WORKING CONDITIONS
General office conditions consistent with working in a healthcare and outpatient mental health environment. Frequent interaction with clients, providers, staff, and members of the public. Position routinely handles confidential and sensitive health information. May interact with individuals experiencing emotional distress, behavioral health crises, or other challenging circumstances. Possible exposure to communicable diseases consistent with working in a healthcare setting. Requires regular use of computers, telephones, electronic medical records, and other office equipment.
PHYSICAL DEMANDS
Work requires accuracy and moderate speed. Sitting for extended periods with intermittent standing and walking. Occasional lifting, carrying, or moving of office materials and supplies. Manual dexterity required for computer, telephone, and office equipment use. Ability to communicate effectively in person, electronically, and by telephone. Ability to comprehend electronic communications, data, medical record information, and paper documents.
