Job Description

Overview We are seeking an energetic and highly organized Front Desk Receptionist to be the welcoming face of our office. This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily operations. The ideal candidate will possess excellent communication skills, a positive attitude, and the ability to multitask efficiently in a fast-paced environment. Duties Greet visitors, clients, and vendors warmly and professionally, ensuring they feel valued from the moment they arrive Manage multi-line phone systems, answer inquiries promptly, and direct calls accurately to appropriate departments or personnel Handle incoming and outgoing correspondence, including mailings, and deliveries Maintain a clean and organized reception area, ensuring all materials are current and accessible Schedule appointments, collect payments and post payment. Support office management activities such as ordering supplies, managing inventory, and overseeing clerical tasks like proofreading documents and updating file Provide customer support by addressing inquiries professionally and efficiently while maintaining excellent phone etiquette Collaborate with team members to ensure efficient office operations and uphold organizational standards Requirements Proven experience in an office environment or as a receptionist with strong clerical skills Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently Exceptional communication skills—bilingual abilities are a plus—and professional phone etiquette Experience handling multi-line phone systems and providing superior customer service support Ability to perform clerical duties including filing, proofreading documents, and maintaining accurate records Previous experience in medical or dental reception is advantageous but not required; relevant personal assistant experience is also valued Demonstrated ability to handle confidential information discreetly while maintaining professionalism at all times Join us as our Front Desk Receptionist to create a positive first impression for everyone who walks through our doors!
