The Settlement Processor manages all aspects of the settlement process, from file opening through post-closing. Working under the supervision of our attorneys, the Processor examines and clears title, coordinates with every party to the transaction, prepares closing documents and settlement statements, and makes sure each file closes on time, funds correctly, and records cleanly. The ideal candidate is detail-driven, comfortable juggling a high-volume pipeline, and experienced with commercial and investor closings.
KEY RESPONSIBILITIES
File Opening & Title Open and set up new files from contracts, lender orders, and attorney referrals; confirm parties, dates, and deal terms. Order title searches and review title commitments; identify and clear Schedule B requirements and exceptions. Order, review, and disclose matters on surveys, payoff and lien letters, municipal lien certificates, condominium/HOA estoppels and resale packages, and water and utility certifications. Coordinate with attorneys on entity documentation, powers of attorney, estate and probate matters, and other title curative work. Communication & Coordination Maintain constant, proactive communication with real estate agents, lenders, mortgage brokers, buyers, sellers, and outside counsel from contract to closing. Review lender closing instructions and satisfy all lender conditions; track deadlines, contingencies, and settlement dates. Schedule settlements, including in-office, mail-away, and remote online notarization closings where permitted. Document Preparation & Closing Under attorney supervision, prepare deeds, affidavits, closing statements, and other settlement documents. Prepare ALTA settlement statements and HUD-1s, and balance Closing Disclosures with lenders in compliance with TRID timing requirements. Calculate prorations, recordation and transfer taxes, and payoffs for DC, Maryland, and Virginia transactions. Collect and verify FIRPTA, 1099-S, and other tax reporting information. Funding, Disbursement & Post-Closing Receive, verify, and disburse funds following strict wire fraud prevention protocols, including verbal verification of all wire instructions through independently confirmed contacts. Submit documents for recording and track recording through completion; resolve rejections promptly. Obtain payoff releases, issue final title policies, reconcile escrow accounts, and close out files.
