Alden Auto Group, home of Alden GMC and Alden Mazda , is seeking a highly organized and detail-oriented Billing & Title Clerk to join our accounting and administrative team. This position plays a critical role in ensuring vehicle sales transactions are processed accurately and efficiently while maintaining compliance with state and federal regulations. The ideal candidate will have automotive dealership experience, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment. What You'll Do As our Billing & Title Clerk, you will be responsible for processing vehicle sales transactions from start to finish, including: Title & Registration Processing Process all new and used vehicle registrations and title applications Prepare and submit title, tax, and registration documents Coordinate with state motor vehicle agencies to ensure timely transfer of ownership Verify title accuracy and completeness prior to submission Manage and track out-of-state title work Deal Billing & Accounting Support Post vehicle sales and purchases Verify deal paperwork and vehicle costs for accounting Process dealer trades and prepare Certificates of Origin Verify lienholder payoffs and ensure funds have been collected before title processing Prepare payoff checks for trade-ins and vehicle purchases Documentation & Compliance Maintain an accurate list of outstanding title work Report title issues, discrepancies, and missing documentation to management Sign over titles for wholesalers after payment verification Stay current on title regulations and DMV requirements Assist in maintaining dealership compliance standards Warranty & Administrative Support Process vehicle warranties and extended service contracts Maintain logs of contracts processed and submitted Assist with annual dealer plate renewals Provide support to the accounting office as needed Perform additional administrative duties as assigned QualificationsPreferred Experience Previous automotive dealership title clerk, billing clerk, or accounting office experience strongly preferred Experience with Massachusetts RMV procedures is a plus Knowledge of dealership management systems (CDK, Reynolds & Reynolds, Dealertrack, etc.) is preferred Skills & Abilities Strong attention to detail and accuracy Excellent organizational and time management skills Ability to manage multiple deadlines simultaneously Strong communication and interpersonal skills Proficiency with Microsoft Office, including Excel Ability to maintain confidentiality and handle sensitive information Ability to work independently and as part of a team Education Associate degree, business coursework, or equivalent experience preferred Relevant automotive dealership experience may be substituted for formal education What We Offer Competitive pay based on experience Health insurance Dental insurance Vision insurance Paid time off and holidays 401(k) Supportive team-oriented work environment Opportunities for growth within a growing dealership group Schedule Full-Time Monday through Friday - NO
