This position is responsible for processing manufacturer warranty claims accurately and promptly, maintaining compliance with individual manufacturer requirements, and helping ensure maximum legitimate warranty recovery. The ideal candidate is organized, accountable, and comfortable working with service advisors, technicians, managers, and manufacturer representatives in a fast-paced dealership environment. Key Responsibilities Review repair orders for accuracy, completeness, and manufacturer compliance. Prepare, submit, and track manufacturer warranty claims. Confirm required technician documentation, diagnostic results, time punches, causal parts, and supporting records are present. Verify labor operations, failure codes, part numbers, and warranty coverage. Identify missing or incorrect information and work with dealership personnel to correct it promptly. Monitor claim status and resolve rejected, returned, or unpaid claims. Process claim corrections, resubmissions, and appeals when appropriate. Reconcile warranty schedules and assist with maintaining accurate warranty receivables. Monitor aging and follow up on claims that remain unpaid or unresolved. Maintain required documentation for manufacturer audits. Communicate warranty policy changes and recurring documentation concerns to service management. Assist with warranty audits and respond to requests from manufacturer representatives. Protect the dealership from preventable chargebacks through accurate documentation and policy compliance. Maintain confidentiality and follow all company and manufacturer policies. Qualifications Previous automotive dealership warranty administration experience preferred. Experience with CDK or a comparable dealership management system is strongly preferred. Familiarity with manufacturer warranty policies, claim submission requirements, and audit standards. Strong attention to detail and the ability to identify documentation or coding discrepancies. Excellent organizational, communication, and follow-up skills. Ability to prioritize a high volume of claims and meet submission deadlines. Comfortable working independently while collaborating with multiple departments and dealership locations. Proficiency with Microsoft Outlook, Excel, and other standard office applications. High school diploma or equivalent required. What Success Looks Like Warranty claims are submitted accurately and within required timelines. Returned and rejected claims are corrected promptly. Warranty receivables are actively monitored and aging is kept within company expectations. Repair orders consistently meet manufacturer documentation requirements. Potential chargebacks and compliance concerns are identified before claims are submitted. Service teams receive clear and timely feedback when corrections are needed.
