Job Description

Position Summary The Automotive Biller is responsible for accurately processing vehicle sales transactions, ensuring all deal documentation is complete, compliant, and posted in a timely manner. This position works closely with Sales, Finance, Accounting, and Title departments to maintain accurate financial records, support operational efficiency, and provide an exceptional customer experience through timely and accurate processing. Essential Duties and Responsibilities Review completed vehicle deal jackets for accuracy and completeness. Verify all required documents, approvals, signatures, and funding requirements have been received. Bill new, used, wholesale, fleet, and dealer trade vehicle transactions. Accurately post vehicle sales into the dealership management system (DMS). Calculate and verify taxes, fees, rebates, incentives, and manufacturer programs. Process aftermarket products, service contracts, GAP, and ancillary product transactions. Ensure all deals comply with dealership policies, manufacturer requirements, state regulations, and lender guidelines. Coordinate with Finance Managers regarding missing or incorrect documentation. Work closely with Title Clerks to ensure timely title processing. Reconcile deal schedules and identify discrepancies requiring correction. Maintain organized electronic and physical deal files. Meet daily, weekly, and month-end billing deadlines. Assist Accounting with month-end closing procedures. Maintain confidentiality of customer financial information. Support internal and external audits by providing requested documentation. Cross-train with other accounting functions to ensure departmental continuity. Perform additional duties as assigned. Required Qualifications High school diploma or equivalent required. Associate's degree in Accounting, Business, or related field preferred. Minimum one year of automotive dealership billing, accounting, or administrative experience preferred. Experience using dealership management systems (CDK, Reynolds & Reynolds, Dealertrack, Tekion, Auto/Mate, or similar) preferred. Working knowledge of Microsoft Office, particularly Excel. Strong mathematical and analytical skills. Excellent organizational and time management abilities. Ability to work under deadlines while maintaining accuracy. Strong communication and customer service skills. Meet dealership billing turnaround standards. Maintain compliance with federal, state, lender, and manufacturer requirements. Support month-end closing deadlines. Communicate proactively regarding deal issues. Maintain organized records suitable for audit review. Demonstrate professionalism and collaboration with all dealership departments. Working Conditions Primarily office environment. Frequent computer and telephone use. Prolonged sitting with occasional standing, walking, lifting, and filing (up to 20 pounds). Ability to work extended hours during month-end and year-end close when necessary. Physical Requirements Ability to sit for extended periods. Manual dexterity for keyboard use. Ability to read computer screens and printed documents. Ability to occasionally lift up to 20 pounds.
