RESPONSIBILITIES
Position Summary The Custodial Specialist is responsible for the day-to-day receipt, verification, storage, tracking, recall, and release of vehicle titles held in custody by the company. This role ensures that all title collateral — including titles held for dealer partners, lending relationships, and client floor plan inventory — is accurately logged and accounted for at all times in both the Custodial Tracker and LoanPro, in accordance with departmental policy and standard operating procedure. Key Responsibilities Receive and verify incoming physical and electronic titles against the corresponding loan or dealer account prior to logging. Log every title received in the Custodial Tracker and reflect its status in LoanPro the same business day. Identify and document discrepancies at intake (e.g., odometer mismatches, incorrect lienholder information, missing signatures) and route them for resolution per department procedure. Confirm titles received electronically through ELT-participating states against Vitu / Ohio Title Gateway records as applicable. Store physical titles in designated, access-controlled custodial filing locations, organized by account or dealer relationship.
Process recall requests:
log requestor, reason, and date in the Custodial Tracker; locate and confirm the reason for the recall; and update the tracker when the title is pulled, returned, or released. Support the release process by confirming that the underlying obligation (payoff, sale, or lien satisfaction) has been verified in LoanPro before a title is released, and log the release date, recipient, and reason. Verify outbound title packages for completeness (title, lien release documentation, and any state-required forms) prior to shipment or hand-off. Log and track client/dealer inventory titles separately within the Custodial Tracker, and flag inventory titles in IDMS (Title Present, Title Sent to Auction/Arbitration, Title Currently with the Floorplan Company).
Maintain the title application manifest:
log incoming title applications, match them against inventory titles on hand, and release matched titles to Dealer Title Transfers for processing. Flag unmatched title applications to the Team Lead for follow-up. Document and log white slips received at corporate, and notate and forward them to the applicable dealer lot for customer pickup. Document discrepancies (odometer errors, incorrect owner/lienholder information, damaged or missing titles) in the Custodial Tracker, including a description of the issue and the corrective action taken. Support routine reconciliation of the Custodial Tracker against LoanPro account status to confirm every title is accounted for and correctly categorized. Maintain accurate, real-time recordkeeping in support of internal and lender audit requirements. Escalate items requiring approval authority, policy exceptions, or issues that cannot be resolved at the team level to the Team Lead or Custodial Manager as appropriate. Qualifications High school diploma or equivalent required. Prior experience in title operations, auto finance, floor plan administration, or a related administrative/records role preferred. Working knowledge of, or ability to learn, LoanPro, the Custodial Tracker (Excel), IDMS, and state ELT systems (e.g., Vitu, Ohio Title Gateway). Strong attention to detail and accuracy in documentation and data entry. Ability to organize and track a high volume of physical and electronic records with consistent follow-through. Clear written and verbal communication skills for coordinating with team leads, dealers, and lenders. Ability to handle sensitive collateral documents in accordance with access-control and confidentiality requirements. Working Conditions Primarily an office-based role involving handling of physical title documents and extended computer/data-entry work. May require occasional coordination with dealer lots and lending partners regarding title status.
