The ideal candidate will have strong knowledge of Texas DMV requirements, TxDMV WebDEALER , title processing, registration, temporary permits, plate assignments, and lienholder procedures. This position requires someone who is extremely organized, detail-oriented, proactive, and persistent in following up on outstanding titles and resolving title issues quickly. The Title Clerk will be responsible for ensuring every vehicle sold is properly processed, tracked, and completed within required timelines. Key Responsibilities Process all Texas vehicle title and registration transactions accurately and efficiently. Process out-of-state title and registration transactions according to each state's requirements. Utilize TxDMV WebDEALER for electronic title and registration transactions. Assign and issue Texas license plates and temporary permits as applicable. Prepare, review, and submit title and registration paperwork. Verify all title documents for accuracy, including: Buyer information VIN Odometer disclosure Purchase price Sales tax Lienholder information Dealer reassignment information Required signatures Process lienholder titles , including properly submitting titles and tracking title release. Monitor vehicles with pending titles, registrations, lien releases, inspections, or other outstanding requirements . Maintain a detailed title tracking system and follow up consistently until each transaction is completely finalized. Contact customers, lienholders, financial institutions, DMV offices, county tax offices, and other agencies to resolve title and registration issues. Research and resolve rejected or incomplete title transactions. Track titles coming into the dealership and ensure titles are properly assigned, stored, and processed. Follow up on missing, delayed, rejected, or lost titles and take appropriate action to obtain replacements or corrections. Ensure out-of-state transactions are completed according to the requirements of the customer's state. Stay current on Texas DMV/TxDMV laws, regulations, procedures, and registration requirements . Maintain accurate records of all title and registration transactions. Communicate with the sales, accounting, finance, and management teams regarding the status of pending title work. Identify potential title problems before they become customer or compliance issues . Ensure all title work is completed within required Texas and applicable out-of-state deadlines. Maintain confidentiality and accuracy when handling customer and vehicle documentation. Required Qualifications Previous automotive dealership title/registration experience required. Strong working knowledge of Texas title and registration laws and procedures . Experience using TxDMV WebDEALER required . Experience processing both in-state and out-of-state vehicle transactions . Knowledge of Texas license plate assignment and registration procedures. Understanding of lienholder and electronic title processes. Strong knowledge of vehicle title documents, reassignment procedures, odometer disclosures, and title corrections. Excellent organizational and record-keeping skills. Strong attention to detail and accuracy. Ability to manage a high volume of title transactions simultaneously . Strong follow-up skills and ability to independently resolve problems. Comfortable communicating with DMV offices, lienholders, customers, and dealership personnel. Proficient with computers, email, Microsoft Office, and dealership systems. The Ideal Candidate The ideal candidate is someone who doesn't let a title sit unresolved . You should be the type of person who: Keeps a daily list of every outstanding title. Knows exactly where every title is and what is holding it up . Follows up with lienholders, customers, DMV offices, and other parties without being asked. Notices missing signatures or incorrect paperwork before submission. Can troubleshoot rejected transactions and determine what needs to be corrected. Understands that title work is not finished until the transaction is completely closed and documented . Can work independently without constant supervision. Takes ownership of problems and follows them through to resolution.
