This position is responsible for accurately and efficiently processing vehicle titles, registrations, liens, and related dealership paperwork while ensuring compliance with applicable state and federal requirements. The Title Clerk also works closely with our Finance Department and serves as an important backstop in the deal-processing process. This includes reviewing paperwork for completeness, identifying missing or incorrect documents, following up on outstanding items, and helping ensure loose ends are resolved so deals can be processed, funded, titled, and finalized without unnecessary delays. The ideal candidate is someone who takes ownership of their responsibilities, communicates well across departments, pays close attention to detail, and is comfortable following through until an issue is completely resolved. Key Responsibilities Process title and registration paperwork for new and used vehicle sales accurately and within required timelines. Prepare and submit title applications, registrations, lien information, license plate transactions, and other required documentation. Verify that vehicle, customer, lender, trade, and title information is complete and accurate before submission. Maintain organized and accurate records of title and registration transactions. Monitor outstanding titles, registrations, lien releases, payoffs, and related documents and proactively follow up when information is missing. Communicate with customers, lenders, financial institutions, the Wisconsin DMV, other state agencies, and dealership personnel as necessary to resolve title and registration issues. Process out-of-state title and registration transactions and research state-specific requirements when necessary. Review trade-in documentation and assist in resolving missing titles, lien releases, signatures, odometer statements, and other documentation issues. Maintain confidentiality of customer, financial, and dealership information. Finance Department & Deal Paperwork Support Work closely with the Finance Department to ensure completed vehicle deals contain the documentation necessary for accounting, funding, titling, and registration. Serve as a secondary review and backstop for deal paperwork as transactions move through the office. Communicate identified deficiencies to the appropriate Finance Manager and assist with obtaining or correcting outstanding documentation. Help tie up loose ends on completed deals so paperwork does not remain unresolved or unnecessarily delay funding, accounting, registration, or title processing. Track outstanding paperwork when necessary and follow through with Finance, Sales, customers, lenders, or other parties until the required documentation is received. Assist Finance Managers with administrative paperwork follow-up when needed to keep deals moving efficiently through the dealership. Work collaboratively with Finance and Accounting while maintaining clear accountability and communication regarding outstanding items. Escalate recurring or unresolved paperwork issues to management when necessary. Additional Responsibilities Assist the Office Manager and accounting team with dealership administrative functions as needed. Maintain current knowledge of Wisconsin DMV procedures and applicable title and registration requirements. Identify process issues or recurring documentation problems and communicate opportunities for improvement to management. Assist coworkers during periods of high volume or staffing needs. Perform other administrative duties reasonably related to the position as assigned by management. Qualifications High school diploma or equivalent required. Previous automotive dealership, title, registration, accounting, finance-office, or administrative experience preferred. Strong attention to detail and ability to identify inconsistencies or missing information. Excellent organizational and follow-through skills. Ability to manage multiple transactions and priorities at the same time. Strong written and verbal communication skills. Comfortable communicating directly with coworkers when documentation or additional information is required. Ability to work independently while also functioning as part of a collaborative dealership team. Strong computer skills and ability to learn dealership software and state processing systems. Ability to handle confidential customer and financial information appropriately.
