Toothman Automotive Group is looking for an experienced Automotive Title Clerk to support our Fairmont location. This person will help manage title, registration, and deal documentation for vehicle sales while ensuring compliance with West Virginia DMV requirements and out-of-state title processing standards. This is an important administrative role for someone who is organized, dependable, detail-oriented, and comfortable working in a dealership environment where accuracy and follow-through matter every day. What You'll Be Doing As our Automotive Title Clerk, you will help keep the dealership's title and registration process accurate, compliant, and moving on schedule.
Your responsibilities may include:
Processing vehicle titles, registrations, and related dealership paperwork Using Dealertrack and other dealership systems to manage deal documentation Utilizing VRS/DDI for West Virginia title and registration processing Using Vitu for out-of-state title and registration transactions Reviewing documents for accuracy, including VINs, odometer readings, lien information, customer details, and required signatures Coordinating out-of-state transactions and ensuring required documents are completed properly Verifying applicable taxes, title fees, registration fees, and lien-related information Tracking pending titles and following up on missing or returned paperwork Communicating with internal dealership departments to resolve title or documentation issues Maintaining organized records and helping ensure timely customer service What We're Looking For We are looking for someone who understands that small details can create big problems if they are missed. You may be a strong fit if you have: Previous dealership office, automotive title, DMV, or registration processing experience Experience with Dealertrack or another dealership management system Familiarity with VRS/DDI , Vitu , or similar title-processing tools Strong attention to detail and accuracy Ability to manage a high volume of paperwork without losing organization Good communication skills and the ability to work well with a team A reliable, steady approach when deadlines or paperwork issues come up A valid driver's license and reliable transportation Schedule This is a full-time, in-person position.
The schedule is:
Monday-Friday, 8:00 AM-5:00 PM.
