Job Description

Position Summary The Automotive Title Clerk is responsible for processing all vehicle title, registration, and related documentation in compliance with West Virginia Department of Transportation regulations, dealership policies, and lender requirements. This position ensures accurate and timely transfer of ownership for all new and used vehicle sales while maintaining strict internal controls and audit compliance. Process all new and used vehicle title work in accordance with West Virginia regulations Submit title and registration paperwork through authorized West Virginia agents or online systems Verify accuracy of all title documents, including: Manufacturer Statement of Origin (MSO) Assigned titles Odometer disclosures VIN verification Lienholder information Ensure proper lien recording and lien payoff documentation Deal Processing & Compliance Review deal jackets for completeness and accuracy prior to submission Confirm proper signatures on all required state and federal forms Ensure West Virginia sales tax is properly calculated and submitted Process in-state and out-of-state title transactions in accordance with applicable state laws Maintain compliance with DOT and state audit requirements Inventory & Record Management Maintain accurate title logs and schedules Track outstanding titles, lien releases, and pending registrations Secure and maintain physical and electronic title files Reconcile title schedules with accounting office and vehicle inventory Coordination & Support Communicate with lenders, customers, messenger services, and West Virginia agents to resolve title issues Assist sales and finance departments with title-related questions Process duplicate titles, corrected titles, and title follow-ups as needed Support accounting office with related administrative duties

$18.00 - $22.00 per hour
