POSITION OVERVIEW
The Account Manager is responsible for managing client relationships and overseeing the quality, consistency, and ongoing service needs of assigned client accounts. The role serves as a primary connection between clients, field teams, company leadership, and outside service providers. The Account Manager conducts regular property reviews, identifies service needs and improvement opportunities, provides direction to the appropriate teams, and maintains oversight of assigned work through completion. This position requires a practical understanding of landscape maintenance, horticulture, irrigation, seasonal care, and enhancement work, together with strong organization, follow-through, professional communication, and sound management judgment. The Account Manager balances regular field presence at client properties with departmental leadership, employee supervision, account oversight, operational decision-making, and the administrative responsibilities necessary to effectively manage the position. The Account Manager's primary responsibility is the management and day-to-day operational oversight of the Company's Client Account Management and Landscape Maintenance departments. The position provides leadership, direction, and supervision to employees within these departments and is responsible for establishing priorities, maintaining employee and departmental accountability, overseeing service quality and operational performance, and ensuring adherence to Company standards and procedures. The Account Manager is expected to spend the majority of working time performing management, supervisory, account-oversight, and decision-making responsibilities that require the regular exercise of independent judgment and discretion. Key Responsibilities
CLIENT AND ACCOUNT MANAGEMENT
- Serve as the primary day-to-day contact for assigned client accounts, excluding accounts managed solely by the President/Owner. Support the President/Owner with those accounts when assigned, and develop a clear understanding of each property's service expectations, priorities, and landscape preferences.
- Communicate with clients through their preferred method and respond to questions, requests, and concerns in a timely and professional manner.
- Schedule and conduct client property walks as needed to quality-check, discuss special requests, clarify preferences, and identify future needs. All property walks will be scheduled and managed in the assigned Account Manager Calendar in Asana, and tasks delegated to the Assistant Account Manager via the respective Asana Calendar and project tasks.
- Provide appropriate follow-up after service issues are scheduled/rectified, repairs, enhancements, or installation work to confirm completion and client satisfaction.
- Identify opportunities to improve the appearance, health, function, and long-term care of client properties and present recommendations when appropriate.
PROPERTY OVERSIGHT AND QUALITY CONTROL
- Conduct thorough property inspections for assigned accounts at least bi-monthly, or more frequently when account conditions or service needs require.
- Evaluate overall maintenance quality and identify missed work, corrective needs, seasonal priorities, plant-health concerns, and opportunities to improve the property's appearance.
- Review pruning practices and timing to support plant health, seasonal bloom cycles, and the natural design intent of each property.
- Coordinate property walks with field crews when practical so observations, expectations, and detailed instructions can be discussed directly with the crew lead.
- Document required follow-up and ensure identified items are communicated, assigned, tracked, and completed.
WORK ORDERS AND FIELD COORDINATION
- Create clear, complete work orders for maintenance crews, irrigation personnel, and other field staff using the company's designated systems and procedures.
- Include the photos, locations, measurements, materials, plant information, and other instructions needed for the assigned team to perform the work correctly.
- Coordinate with crew leads to clarify assignments, answer questions, and provide on-site direction when the work cannot be effectively communicated through written instructions alone.
- Maintain the responsibility of ensuring that work is being completed by the crew as instructed, per the direction given on their assigned work order.
- Track work orders from assignment through completion and maintain accurate status records.
- While the Assistant Account Manager generally coordinates the maintenance crew's daily and weekly work assignments and ensures the team has the necessary work orders and direction, the Account Manager retains management oversight of the maintenance team and is responsible for ensuring assignments are delegated appropriately and in a timely manner.
- Delegate field work appropriately to the Assistant Account Manager, taking workload and schedule into consideration.
- Oversee the Assistant Account Manager and crew leaders in maintaining appropriate inventory of maintenance tools, sprayers, supplies, and other materials required for regular landscape maintenance and client-specific work.
- Oversee the Assistant Account Manager and crew leaders in maintaining required vehicle, trailer, equipment, and tool inspection records and ensuring identified maintenance, repair, or replacement needs are properly reported and addressed.
- Maintain the assigned Company vehicle in a clean and professional condition, including routine exterior washing and interior cleaning at Company expense.
- Conduct weekly crew meetings (cover the program SOP for weekly crew meetings).
LANDSCAPE ENHANCEMENTS AND INSTALLATION SUPPORT
- Identify and discuss potential landscape enhancement opportunities with appropriate company leadership, and the client if instructed to do so by company leadership.
- Document proposed work through site photographs, field measurements, notes, and other information needed for design, estimating, or approval.
- Coordinate internal review for client approval before scheduling billable enhancement work.
- Confirm with the crew material lists and installation instructions given via work order, coordinate site access and demolition direction, and provide on-site layout or decision support when required.
- Monitor installation progress, communicate progress and changes to project management, and follow up with the client after completion.
IRRIGATION, PLANT HEALTH, AND SEASONAL CARE
- Identify irrigation concerns during property inspections and route repairs or programming needs to the Senior Irrigation Technician.
- Remain aware of applicable seasonal watering requirements, restrictions, and property-specific irrigation needs, in order to collaborate with the Senior Irrigation Technician.
- Evaluate plant losses before recommending replacement, including potential irrigation, pest, disease, soil, exposure, or plant-selection issues that could cause the problem to recur.
- Research or confirm plant identification and original plant specifications when matching replacement material.
- Coordinate seasonal color rotations, container refreshes, fertilization programs, soil testing, and other recurring horticultural services for assigned accounts. Manage seasonal planting schedules and provide adequate notice and plant lists to Project Management for ordering and scheduling prior to seasonal planting deadlines.
- Develop working knowledge of the plant material and seasonal cycles present at each assigned property so client questions and care recommendations can be addressed accurately.
VENDORS, MATERIALS, AND SPECIALTY SERVICES
- Report to Project Management all needs for the ordering of any material needed for installation or repair, whether to be client-approved via proposal, or for warranty work.
- Coordinate qualified outside providers for pest control, chemical applications, trapping, laboratory testing, and other specialty services when required, and manage delegation of these tasks to the Assistant Account Manager, considering current workload and feasibility of said delegation.
- Obtain site evaluations and secure the required internal approvals from Project Management for any new plantings, repairs, or materials purchases, and communicate expectations clearly with clients before and after the project.
- Maintain required receipts and supporting information, including the property, purpose, installation location, and whether the item is billable or warranty, and report this information to Project Management.
- Participate in material pickup on an overflow basis and wherever needed, time and workload permitting.
DEPARTMENT MANAGEMENT AND PERSONNEL OVERSIGHT
- Directly manage and oversee the Company's Client Account Management and Landscape Maintenance departments, including the employees assigned within those departments.
- Provide ongoing leadership, direction, supervision, and accountability for assigned employees and ensure departmental work is performed in accordance with Company standards, procedures, client expectations, and operational priorities.
- Establish and communicate work priorities, delegate responsibilities, evaluate workload and performance, and make independent day-to-day management decisions regarding departmental operations.
- Monitor employee performance and provide coaching, direction, corrective feedback, and recommendations to senior management regarding employee performance, development, advancement, disciplinary action, staffing needs, and other personnel matters.
- Participate in the interviewing, selection, onboarding, training, and performance evaluation of employees within the departments under the Account Manager's supervision, as assigned.
- Exercise independent judgment and discretion in resolving operational, client-service, staffing, and field-management matters within the scope of the position's authority, escalating matters to senior management when appropriate.
DOCUMENTATION AND ORGANIZATION
- Maintain accurate and current account records in Asana, including property notes, calendars, work orders, client approvals (notify Project Management) when appropriate, photographs, and completed-work documentation.
- Maintain an organized task and follow-up system in Asana so client requests, property needs, proposals, purchases, and crew assignments do not fall through the cracks.
- Provide company leadership and administrative staff with timely documentation required for billing, purchasing, scheduling, and account reporting.
- Follow company standard operating procedures for account management, documentation, approvals, and communication.
- Maintain all inter-departmental internal communications within the company's Slack communications platform.
- The Account Manager is responsible for completing the administrative responsibilities associated with the position, including managing and tracking account-related tasks in Asana, issuing Work Orders in accordance with published operational SOPs, maintaining required account records and documentation, and completing necessary vendor and client communications.
These responsibilities remain part of the Account Manager's assigned duties and are not automatically delegated to the Assistant Account Manager. Delegation of administrative responsibilities to the Assistant Account Manager requires senior management approval and will be based on workload, availability, operational priorities, and the appropriate distribution of responsibilities between the two positions.

QUALIFICATIONS
This is not an entry-level position.
- Significant relevant experience in landscape maintenance account management, landscape operations, and horticulture in a client-facing role.
- Demonstrated ability to inspect landscape properties, recognize service and plant-care needs, and translate field observations into clear action items.
- Strong professional communication skills and the ability to manage multiple client accounts and competing priorities.
- Ability to read basic planting layouts, take accurate field measurements, and assemble clear site documentation.
- Ability to accurately and effectively utilize the company's project management and communications software in congruence with published SOPs.
- Demonstrated experience supervising employees, delegating work, managing performance, and maintaining accountability within a team or department.
- Demonstrated ability to exercise independent judgment, prioritize competing operational needs, and make effective day-to-day management decisions.
- Ability to travel between assigned client properties, suppliers, and job sites on a daily basis.
Must maintain a clean, insurable driving record at all times.
ADDITIONAL
Although this is a salaried-exempt position, the Account Manager is required to accurately record working time through the Company's timekeeping system for attendance, scheduling, workload management, job costing, operational planning, and internal recordkeeping purposes. Recorded hours are used for operational tracking and do not determine the employee's established salary. The Account Manager will be provided with a company-issued cellular phone for business use. The employee is expected to keep the company phone with them outside of regular business hours and remain reasonably available to respond to urgent account-related matters and time-sensitive communications, including unforeseen scheduling changes that may affect the following workday. This is a salaried-exempt position, and working hours may vary based on seasonal workload, client needs, and operational requirements. During busier seasons, the position may require extended workdays, including days exceeding eight hours, as necessary to fulfill the responsibilities of the role. During slower seasons, particularly during the winter months, workload and operational needs may result in shorter workdays or reduced working hours. As a salaried-exempt employee, compensation is based on the established salary and is not increased or reduced based on variations in the number of hours worked.
