The Project Coordinator will work closely with Project Managers, field supervisors, customers, general contractors, subcontractors, suppliers, and our accounting team to keep projects organized, properly documented, and moving forward. This is an ideal position for someone who is highly organized, detail-oriented, proactive, and comfortable managing multiple priorities at once . The successful candidate will not simply complete assigned administrative tasks—they will actively monitor projects, follow up on outstanding items, identify potential issues, and help ensure that commitments and deadlines are met. Construction experience is strongly preferred, but candidates with strong project coordination, administrative, scheduling, or operations experience may also be considered. Responsibilities Project Coordination Assist Project Managers with the day-to-day coordination of concrete construction projects. Track project schedules, deadlines, milestones, and outstanding items. Maintain accurate and organized project files and documentation. Coordinate communication between office personnel, field crews, customers, vendors, and subcontractors. Follow up on outstanding information, approvals, materials, documentation, and other project requirements. Identify potential scheduling or coordination issues and bring them to the attention of the Project Manager. Assist with project meetings, scheduling, and general project administration. Scheduling & Field Coordination Assist with scheduling crews, concrete deliveries, materials, equipment, inspections, and other project activities. Communicate schedule changes to customers, suppliers, subcontractors, and field personnel. Coordinate with field supervisors regarding upcoming work and project requirements. Help ensure materials and resources are available when needed. Collect and organize daily reports, concrete tickets, delivery tickets, photographs, and other field documentation. Customer, Vendor & Subcontractor Communication Communicate professionally with customers, general contractors, vendors, suppliers, and subcontractors. Respond to project-related inquiries in a timely manner. Coordinate meetings, site visits, inspections, and deliveries. Request and track required documentation from subcontractors and vendors. Assist with resolving routine coordination issues and escalate significant issues to the Project Manager. Project Documentation & Change Orders Assist with documenting additional work, customer-requested changes, and changes to project scope. Maintain change-order logs and track pending approvals. Collect supporting documentation including photographs, field notes, material costs, and labor information. Assist with RFIs, submittals, takeoffs, schedule of values, project correspondence, and other construction documentation. Ensure project records remain accurate and up to date. Purchasing & Materials Order and track materials, equipment, and service purchases. Coordinate material orders and delivery schedules. Verify quantities, pricing, project information, and delivery requirements. Follow up with suppliers regarding availability, delivery dates, and outstanding orders. Communicate material or delivery issues to the appropriate Project Manager. Project Closeout Assist Project Managers with project closeout. Track punch-list items and final project requirements. Collect final documentation, lien waivers, and other required paperwork. Ensure project files are complete and properly organized. Qualifications Required 2+ years of relevant professional experience. Bachelor's Degree in Construction Management, Civil Engineering, Project Management, or a related field required. Strong organizational and time-management skills. Excellent written and verbal communication skills. Strong attention to detail. Ability to manage multiple projects and priorities simultaneously. Ability to work independently and take initiative. Strong follow-up and problem-solving skills. Proficiency with Microsoft Office, particularly Excel, Outlook, and Word . Professional communication skills when working with customers, vendors, subcontractors, and employees. Valid driver's license. Must have permanent US work authorization. Preferred Experience in construction project coordination, construction administration, project management, or related work. Experience working for a concrete contractor, general contractor, subcontractor, or construction company. Knowledge of construction terminology and processes. Familiarity with construction plans, specifications, and scopes of work. Experience with construction and project management software such as ProCore, PlanSwift, Microsoft Projects, Bluebeam, or similar software is a plus. Experience with purchase orders, change orders, RFIs, takeoffs, or submittals. Experience coordinating construction materials, deliveries, subcontractors, or field crews. Construction Experience Experience with concrete construction is highly desirable. Familiarity with any of the following is a plus: Foundations and footings Slabs and flatwork Curbs and gutters Sidewalks Concrete paving Structural concrete Formwork Reinforcing steel Concrete placement and finishing Saw cutting and jointing Inspections and testing Punch-list and closeout procedures You do not need to be a concrete field expert to succeed in this role. However, you should be willing and able to learn how our construction operations work and understand how scheduling, materials, labor, documentation, and billing affect a project.
