Job Description

Job Summary Champion Property Services is looking for an experienced, organized, and dependable Business Office Manager to join our team. This is primarily a front-office management and administrative position . We are looking for someone who can take ownership of the office, communicate professionally with homeowners, residents, property managers, employees, and vendors, and keep our daily operations organized and moving forward. Champion Property Services has been serving HOA communities for 24 years. We work closely with property managers and HOA boards throughout Southern California, so strong communication, follow-through, and customer service are extremely important. Responsibilities Manage the day-to-day operation of the front office Answer phones, emails, and general customer inquiries Communicate with homeowners and residents regarding construction and repair needs Call residents to gather job information and coordinate access Schedule inspections and appointments with field personnel Create new jobs and maintain accurate information in Job Nimbus Keep job records, documentation, and statuses up to date Coordinate information between the office, property managers, sales, and production teams Communicate with property managers regarding inspections, scheduling, job status, and follow-up Provide professional and timely customer service Follow up on outstanding requests and make sure tasks are completed Assist with employee onboarding, personnel documentation, and other HR-related administrative duties Maintain company records, licenses, registrations, insurance documentation, and renewals Assist with vendor documentation, certificates of insurance, W-9s, and other office requirements Help maintain an organized and efficient office Assist management and other departments with administrative needs and special projects Qualifications Previous experience in office management, office administration, or a similar role Excellent communication and customer-service skills Professional and confident on the phone Strong organizational and follow-up skills Ability to manage multiple priorities in a fast-paced environment Strong attention to detail Comfortable working independently and taking ownership of responsibilities Proficient with computers, email, Microsoft Office, and learning new software Ability to learn and effectively use JobNimbus Reliable, dependable, and professional Preferred Experience — Not Required The following experience is a plus , but is not required: Construction industry experience HOA or property-management industry experience Sales or customer relationship experience Experience communicating with property managers Job Nimbus or similar CRM/project-management software Bookkeeping or accounting experience QuickBooks experience HR or payroll experience Accounting experience is a bonus, not a requirement. Our primary need is someone who can successfully manage the front office, communicate with customers and property managers, coordinate scheduling and job information, and keep our office organized. The Ideal Candidate The right person is someone who takes initiative and doesn't need to be told what needs to be done every day. If a resident needs to be contacted, you make the call. If an inspection needs to be scheduled, you get it scheduled. If information is missing from a job, you track it down. If a property manager needs an answer, you follow up and make sure they get one. We are looking for someone who wants to become an important part of our team and grow with the company.
Compensation:
$25-$35 per hour, depending on experience and qualifications. Champion Property Services is an equal opportunity employer.
