Job Description

Role Overview:
This role owns our full customer lifecycle from the sales handoff through keys in hand and into warranty coordination. This includes schedule and budget ownership, procurement and supplier relationships, county compliance, and regular on-site engagement with customers and crews. For the first 6 months in the role (or until complete, whichever is longer), this position is also responsible for building the operational backbone of the role itself — documenting SOPs, verifying the county requirements matrix, verifying GC license tracking, and implementing missing pieces from Buildertrend across all active jobs. The primary focus during this time is to build a scalable foundation.

Deliver a predictable, professional customer experience with a focus on scheduling, staying within controllable budget targets and maintaining our high-quality building standards. Create and maintain the processes, systems and documentation needed to manage a growing construction portfolio across Colorado.
Outcomes & Key Responsibilities:
New Customer Handoff & Kickoff
  • Own the Sales-to-CPM handoff for every new project, using the standardized handoff checklist.
  • Lead new-customer orientation using the Client Expectations Guide for the kickoff meeting, setting expectations for the build process, timeline, communication mediums and cadence.
  • Capture customer selections to ensure ample fulfillment time. Project Planning, Preconstruction, & Scheduling
  • Set up and maintain job tracking in Buildertrend for every active job — scheduling, budget tracking, daily logs, photos/videos, and the customer portal.
  • Maintain the master Gantt schedule for each job, including baseline dates for accurate reporting on schedule shifts, root causes, and amount of time gained or lost.
  • Maintain a pipeline of 4+ jobs fully scheduled and ready to start at all times, so crews are never left waiting on the office.
  • Coordinate required engineering by county, create takeoff lists and submit bid requests to suppliers.
  • Submission of paperwork for permitting, verify setback and zoning restrictions and apply for variances as required by county.
  • Manage purchase orders and day-to-day scheduling of materials, installs, and material drops. On-Site Presence
  • Visit jobsites at critical phases including kickoff/site readiness, drilling, framing, inspections, quality-control reviews, and final walkthroughs.
  • Conduct building-orientation site visits with customers at project start and confirm understanding with crews.
  • Troubleshoot directly with crews as issues arise.
  • Walk punch lists with crews and customers ahead of final walkthrough. Procurement & Supplier Development
  • Run the standardized takeoff and material-ordering process for every job, cross-checking against drawings and estimates before any purchase order is released.
  • Track material / install lead times while paying particular attention to critical-path material deliveries or delays.
  • Identify, vet, and make "onboard" / "do-not-onboard" decisions on new supplier candidates to strengthen and diversify the supplier base. Compliance & Documentation
  • Keep the County Requirements Matrix (permit process, contact information, inspection triggers, engineering requirements, etc.) current for every active and near-term county.
  • Maintain GC License Matrix compliance and renewal calendars across all active counties and set up near-term counties.
  • Keep Buildertrend data current and accurate as the single source of truth for job status.
  • Review and approve (or flag) job-related expenses and invoices routed through Buildertrend on a weekly cadence.
  • Archive closed jobs and parse out photos for marketing to use. Buildertrend, Documentation & Project Controls
  • Maintain Buildertrend as the primary source of truth for all projects, including schedules, project documents, communications, daily logs, photos/videos, selections, permits, material status, change orders, and closeout information.
  • Verify required daily logs are posted on the established Monday/Wednesday/Friday cadence and that project photos/videos are added to the record.
  • Review project financial health regularly, including forecasted gross profit, cost slippage/improvement, remaining costs, change-order impacts, and controllable variances.
  • Release customer invoices commensurate with build schedule as defined in the signed contract.
  • Manage change-order impacts to scope, price, materials, and schedule before affected work proceeds. Customer Experience & Warranty
  • Own the customer experience from contract signing through closeout and into warranty. This includes updates on schedule, decisions, issues, challenges, and next steps.
  • Track warranty requests in Buildertrend documenting the issue, resolution, and cost for each claim.
  • Support the company's independently-administered customer satisfaction (CSAT) survey process. SOP & Process Ownership (priority in the first 6 months, ongoing after)
  • Build out and document the core CPM process
SOPs:
WBS, DECA, estimating, contracts, procurement, communications plan, drawings, client selections, project schedule, client expectations, permits, status reporting, client update meetings, financials, and change orders.
  • Keep all SOPs current, updating within 30 days of any process change. Travel & On-Site Requirements
  • This role requires regular travel to job sites across the service area for customer orientations, milestone site visits, and crew troubleshooting.
  • A company-owned vehicle is provided for this purpose.
  • The Construction Project Manager is expected to respond to urgent customer, subcontractor, supplier, or project matters outside normal business hours when required.

  • This role has access to customer, financial, and supplier information that Peak Pole Barns considers confidential. The Construction Project Manager is expected to protect this information both during and after employment.
  • No project information may be shared outside of the company without authorization from leadership.
  • Artificial Intelligence (AI) tools may be used only within the AI Use Policy guidelines.
Pay:
$80,000.00 - $112,000.00 per year
