Citrus, Levy, Marion, Pasco, Lake, and Hernando Counties Overview We are seeking an experienced and highly motivated Residential HVAC Bidding, Estimating & Purchasing Manager to join our team. This position is focused specifically on new-construction residential HVAC, including estimating projects, preparing competitive bids for home builders, managing equipment and material purchasing, negotiating vendor pricing, and maintaining strong relationships with builders, manufacturers, distributors, and suppliers. The ideal candidate will have extensive experience in the residential HVAC industry, with a strong understanding of new-construction HVAC systems, job costing, equipment and material requirements, builder specifications, purchasing, and estimating. This individual will play a key role in helping the company secure profitable new-construction contracts while controlling material and equipment costs and ensuring projects are properly estimated from bid through completion. Responsibilities- Prepare accurate and competitive HVAC estimates and bids for new residential construction projects, including single-family homes, subdivisions, and production-builder communities.
- Review construction plans, mechanical plans, specifications, scopes of work, and builder requirements to determine HVAC equipment, materials, labor, and subcontractor requirements.
- Perform HVAC material and equipment takeoffs for new-construction projects.
- Calculate estimated job costs, including equipment, ductwork, materials, labor, permits, accessories, and other project-specific expenses.
- Develop and maintain pricing for different home models, elevations, options, and HVAC system configurations.
- Prepare and submit bid packages to residential home builders and general contractors.
- Manage builder pricing agreements and ensure estimates reflect current equipment, material, and labor costs.
- Work closely with builders to review scopes of work, specifications, change orders, upgrades, and pricing.
- Develop purchasing strategies to reduce HVAC equipment and material costs while maintaining quality and availability.
- Negotiate pricing and purchasing agreements with HVAC manufacturers, distributors, and suppliers.
- Maintain strong relationships with equipment and material vendors.
- Monitor pricing and availability of HVAC equipment, duct materials, refrigerant-related components, thermostats, ventilation products, registers, grilles, and other installation materials.
- Coordinate purchasing with projected construction schedules to ensure equipment and materials are available when needed.
- Monitor inventory levels and help prevent material shortages, overstocking, and unnecessary purchasing.
- Analyze actual job costs compared with original estimates to identify pricing discrepancies and improve future bids.
- Track material, equipment, and labor cost changes and update estimating systems accordingly.
- Work closely with field operations, installation managers, purchasing, accounting, and scheduling teams.
- Assist with value engineering and identify opportunities to reduce installation costs without sacrificing system performance, code compliance, or quality.
- Maintain accurate records of bids, pricing agreements, purchase orders, contracts, supplier pricing, and builder specifications.
- Help identify and pursue new residential builder accounts and bidding opportunities.
- Ensure all bids and purchasing activities support company profitability and operational goals. Qualifications
- Minimum 5 years of experience in residential HVAC, purchasing, estimating, bidding, or related construction management required.
- Proven experience with new-construction residential HVAC is strongly required.
- Strong understanding of residential HVAC equipment, duct systems, materials, installation processes, and job costing.
- Ability to read and interpret residential construction plans, mechanical plans, specifications, and scopes of work.
- Experience performing HVAC takeoffs and preparing estimates for new residential construction.
- Knowledge of production-home building and working with regional or national home builders is highly preferred.
- Strong understanding of HVAC equipment and material pricing.
- Experience negotiating with HVAC distributors, manufacturers, suppliers, and vendors.
- Proficiency with HVAC estimating, bidding, purchasing, or construction management software.
- Strong computer skills, including spreadsheets and cost-tracking systems.
- Ability to analyze job-cost data and determine project profitability.
- Excellent negotiation and vendor-management skills.
- Strong communication skills with the ability to work effectively with builders, vendors, management, and field personnel.
- Highly organized and detail-oriented with the ability to manage multiple builders, communities, bids, and projects simultaneously.
- Knowledge of Florida residential construction and HVAC requirements is preferred.
- Win profitable residential builder contracts.
