This is not a receptionist position and it is not a bookkeeping-only position. Primary ResponsibilitiesProject Administration Maintain accurate and current project information in Contractor Foreman or similar construction-management software. Maintain project schedules, calendars, milestone dates, and administrative deadlines. Organize project records, contracts, Purchase Orders, vendor documents, permits, selections, and supporting documentation. Track open project commitments and make sure follow-ups occur on the dates promised. Prepare project information before weekly operations meetings. Maintain clear task ownership, deadlines, next follow-up dates, and documentation of completion. Subcontractor & Vendor Administration Prepare and send subcontracts, work orders, and Purchase Orders using approved scopes and pricing. Track subcontract documents from preparation through signature and final execution. Follow up by phone, text, or email when documents or information are outstanding. Maintain W-9s, Certificates of Insurance, contracts, vendor records, and other required documentation. Coordinate office-side communication with suppliers and subcontractors. Track vendor commitments and follow up when promised dates arrive. Escalate schedule or documentation problems before they become project delays. Procurement & Material Coordination Assist with construction purchasing and procurement. Prepare Purchase Orders by project and vendor. Track material orders, expected delivery dates, and supporting documents. Coordinate receiving, delivery, and project allocation documentation. Maintain purchasing lists and material packages for repeat construction projects. Work with field operations to make sure materials required for upcoming work are identified early. Owner & Management Support Maintain an Owner Action List for decisions requiring company-owner approval. Comfortable managing multiple projects and competing deadlines. Strong computer skills. Working knowledge of Microsoft Excel or Google Sheets.
