Duties Manage daily office operations, including filing, front desk duties, multi-line phone systems, and calendar management to ensure smooth administrative flow. Supervise administrative staff and coordinate training & development initiatives to enhance team performance. Oversee vendor management by negotiating contracts, processing invoices, and maintaining strong professional relationships. Handle human resources responsibilities such as payroll processing, employee onboarding, and confidential information handling. Maintain accurate bookkeeping and accounting records using QuickBooks and other financial software; monitor budgets and prepare financial reports. Coordinate project-related event planning and client communication to support project milestones and stakeholder engagement. Ensure compliance with office policies, safety protocols, and legal requirements across all administrative functions. Requirements Proven experience in office management within the construction or related industry; supervisory experience is essential. Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook) and spreadsheets for data analysis and reporting. Familiarity with accounting software such as QuickBooks or similar platforms; experience with bookkeeping, budgeting, and financial software is required. Excellent organizational skills with the ability to manage schedules efficiently and prioritize tasks effectively. Exceptional communication skills—both verbal and written—with a focus on client communication and phone etiquette. Demonstrated ability to handle confidential information discreetly while maintaining professionalism at all times. Experience in event planning, vendor management, human resources functions, payroll processing, and office experience is highly desirable.
