Job Description

Summary/Objective Our construction project coordinator is responsible for organizing and overseeing all aspects of a construction project, ensuring it runs smoothly, on time, and within budget by coordinating team members, contractors, and stakeholders, managing project schedules, budgets, and documentation, while maintaining communication with clients and monitoring progress throughout the construction process. This position will work very closely with our project managers (PMs), assistant project managers (APMs), superintendents, and assistant superintendents. This position will report to the Chief Financial Officer and is considered a key component of company operations. Essential Functions Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. 1) Project planning and scheduling: a) Developing detailed project timelines, milestones, and work breakdown structures using project management software. 2) Team coordination: a) Facilitating communication between architects, engineers, subcontractors, clients, and other stakeholders. 3) Budget management: a) Tracking project costs, identifying potential cost overruns, and managing procurement processes, organizing invoices for payment, and vendor relations. 4) Site supervision: a) Conducting regular site inspections to ensure quality control, safety compliance, and adherence to project plans 5) Document control: a) Maintaining comprehensive project documentation including drawings, permits, change orders, RFIs, and progress reports. 6) Change order management: a) Reviewing and processing change orders, coordinating necessary approvals, and updating project budgets accordingly. 7) Risk assessment and mitigation: a) Identifying potential project risks and developing strategies to minimize their impact. 8) Reporting and communication: a) Providing regular project updates to clients and stakeholders through progress reports, meetings, and presentations 9) Subcontractor management: a) Selecting, contracting, and managing subcontractors to ensure timely completion of work 10) Quality control: a) Implementing quality control procedures to ensure project meets specifications 11) Team Member Engagement and Development a) Recognize and play to the strengths of each individual on the team. Position is mainly indoor office based in a temperature and noise controlled environment compliant with OSHA standards. The employee is occasionally exposed to a variety of extreme conditions at construction sites. The noise level in the work environment and job sites can be loud. The position could work near moving mechanical parts and in outside conditions that include inclement weather, heat and humidity, and exposure to dust and asphalt and other employees when on site. Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The position rarely exerts oneself physically. Lifting no more than 10 pounds at a time, mainly small tools, ledgers, and/or docket files. Walking or standing for no more than two to four hours of an eight-hour workday. Extensive use of computers and other technological devices for extended periods expected. The position requires the ability to quickly think of solutions and implement them. The employee must have excellent stamina, ability to work with difficult people and scenarios, and receive a euphoric feeling when a hard days work is completed. Position Type/Expected Hours of Work This is a full-time position. Days and hours of work are Monday through Friday, beginning at 8:00 a.m., 40 hours per week. Overtime and/or weekend work is not expected but could present infrequently. Travel Light travel to job sites. No overnight stays or trips longer than one day expected. Will work out of headquarters in Fishers, IN.
