Organize projects and send plans/documents to our estimating team for quantity takeoffs. Track takeoff progress and ensure bid deadlines are met. Review completed takeoffs and assist with putting together final pricing. Enter labor, material, equipment, subcontractor, and other project costs into estimates. Prepare professional proposals and submit bids to general contractors and customers. Review addenda, scope revisions, and updated drawings. Maintain organized records of bids, proposals, revisions, and customer communication. Assist with bid follow-ups and proposal revisions when necessary. Project Coordination & Support Transition awarded projects from estimating to the project management team. Set up new projects in company systems. Assist with W-9s, certificates of insurance, vendor forms, contracts, and other required documentation. Prepare and track product submittals, product data, color selections, and project documentation. Assist with schedules of values and project billing documentation. Maintain organized project files, drawings, specifications, and correspondence. Assist project managers with purchase orders, material documentation, change orders, and other project needs. Communicate with general contractors, vendors, suppliers, estimators, and internal project teams. Track outstanding paperwork and follow up to make sure required documents are completed on time. Assist with project closeout documentation as needed. Qualifications Previous experience in commercial construction, estimating, project coordination, project engineering, or construction administration preferred. Ability to read and understand construction drawings and specifications. Understanding of commercial construction terminology and processes. Strong computer and organizational skills. Comfortable working with estimating/project management software and learning new systems. Strong written and verbal communication skills. Ability to manage multiple projects and deadlines simultaneously. High attention to detail. Comfortable communicating with general contractors, project managers, vendors, and suppliers. Must be dependable and able to work independently without constant supervision. Experience with commercial painting, drywall, metal framing, acoustical ceilings, epoxy flooring, or polished concrete is a plus but not required. What We're Looking For We are looking for someone who takes ownership of their work. This position requires more than simply entering numbers or filing paperwork. You will help move projects from bid invitation → takeoff → estimate → proposal → award → project setup and support . The right person should be able to stay ahead of deadlines, identify missing information, follow up without being reminded, and make sure projects are properly organized before they reach the field. You must be organized in this role.
