Job Description

Overview The Subcontractor Qualification Coordinator is responsible for managing/coordinating and administering the subcontractor qualification process to ensure trade partners meet the company's safety, financial, insurance, licensing, and compliance requirements. This role serves as the primary point of contact for subcontractors throughout the qualification process and partners closely with Preconstruction, Operations, Safety, Risk Management, and Legal to maintain an accurate database of qualified trade partners. The ideal candidate is highly organized, detail-oriented, and customer-focused, with the ability to manage multiple priorities while delivering exceptional service to both internal stakeholders and external business partners. Responsibilities Coordinate the subcontractor qualification process from initial invitation through approval and annual renewal. Serve as the primary contact for subcontractors by answering questions, providing guidance, and assisting with required documentation. Serve as the primary contact for internal stakeholders for adding or updating subcontractors, expediting reviews, gathering required documentation or providing guidance on internal processes and procedures. Guiding subcontractor submissions through a multi-departmental review process for approval. Track and monitor required documentation including: licenses, EMR and OSHA safety information, financial & bonding information, and quality control Maintain accurate subcontractor records within the company's qualification and vendor management systems. Monitor expiration dates and proactively communicate renewal requirements to subcontractors. Coordinate with Safety, Risk Management, Legal, and Finance to resolve compliance issues or missing documentation. Support preconstruction and operations teams on subcontractor qualification status during the bidding and project award process. Generate reports on qualification status, pending approvals, renewals, and compliance metrics. Identify process improvement opportunities to increase efficiency and enhance the subcontractor and internal user experience. Assist with onboarding newly approved subcontractors into company systems. Ensure confidential information is handled securely and in accordance with company policies. Qualifications Associate's or Bachelor's degree in Business Administration, Finance, Construction Management, or a related field preferred. 1-3 years of experience in construction administration, vendor management, procurement, compliance, or subcontractor qualification/coordination. Experience working within a commercial general contracting environment is preferred. Familiarity with typical subcontractor qualification metrics such as safety, financial, licensing, quality control, and workforce planning. Experience using qualification or vendor management platforms such as Compass, SmartBidNet, BuildingConnected, or similar systems is preferred.
