Based on experience Job Summary Cardinal Contractors is seeking an organized, dependable, and detail-oriented Project Management Assistant to support our production and project management team. This position helps coordinate roofing and exterior construction projects from the time a contract is approved through project completion. The ideal candidate is highly organized, communicates professionally, works well in a fast-paced environment, and is comfortable managing multiple projects and deadlines at once. The Project Management Assistant will work closely with project managers, sales representatives, homeowners, suppliers, subcontractors, and internal office staff to help ensure projects are scheduled, documented, and completed successfully. Primary Responsibilities Assist project managers with the daily coordination of roofing, gutter, siding, and exterior construction projects. Review project files to confirm contracts, measurements, material selections, insurance documents, permits, and required paperwork are complete. Contact customers to provide project updates, confirm scheduling, and communicate material delivery and installation information. Coordinate material orders, deliveries, subcontractors, crews, dumpsters, permits, and project schedules. Confirm shingle colors, manufacturer selections, accessories, and other project details before materials are ordered. Monitor active projects and update job statuses, notes, tasks, and documentation in JobNimbus or other company systems. Upload and organize project photos, permits, invoices, labor bills, completion documents, and customer communications. Assist with scheduling inspections, punch-list work, service appointments, and final project walkthroughs. Communicate schedule changes, weather delays, material issues, or project concerns to customers and internal team members. Follow up with project managers and crews to ensure required documentation and completion photos are submitted. Help identify missing information or potential project issues before installation. Assist with preparing project packets, work orders, material lists, and subcontractor documentation. Coordinate with the billing and accounts receivable team when projects reach completion. Provide administrative support to the production and operations departments as needed. Maintain professional communication with customers, vendors, subcontractors, and employees. Perform other duties assigned by management. Qualifications Previous administrative, construction, project coordination, or customer service experience is preferred. Roofing, restoration, insurance-claim, or exterior construction experience is a plus. Strong organizational and time-management skills. Ability to manage multiple projects, deadlines, and priorities. Excellent written and verbal communication skills. Strong attention to detail and accuracy. Comfortable making phone calls and communicating directly with customers. Ability to remain professional and solution-focused in stressful situations. Proficiency with Microsoft Office, email, cloud-based software, and document management systems. Experience with JobNimbus, CompanyCam, QuickBooks, or similar construction software is preferred. Ability to work independently while also collaborating with a team. Reliable attendance and dependable transportation are required. Preferred Skills Understanding of roofing materials and basic construction terminology. Experience coordinating subcontractors, suppliers, or installation schedules. Experience reviewing contracts, measurements, work orders, and project documentation. Familiarity with insurance restoration projects and homeowner claims. Ability to identify missing documents, scheduling conflicts, or project concerns before they cause delays.
