With projects spanning multiple states and programs, our team is mission driven, fast-paced, and committed to rebuilding communities with quality and efficiency. Position Overview The Project Coordinator plays a critical role in supporting Project Managers, Pre-Construction, and Permitting teams throughout the lifecycle of residential reconstruction projects. This role ensures that projects move efficiently from pre-construction through completion by coordinating documentation, tracking progress, and maintaining communication across internal teams, subcontractors, and stakeholders. This is a highly collaborative, detail-oriented role ideal for someone who thrives in a fast-paced, process-driven environment. Key Responsibilities Project Management Support Assist Project Managers with day-to-day coordination of active construction projects Track project milestones, schedules, and deliverables to ensure timelines are met Maintain accurate and up-to-date project files, documentation, and reporting systems Support change order tracking, job cost updates, and project status reporting Pre-Construction & Permitting Support Coordinate with Pre-Construction team to ensure complete and accurate project setups Assist in gathering required documentation for permits, inspections, and approvals Track permit status, submissions, and approvals with local jurisdictions (AHJs) Help ensure compliance with program requirements (CDBG-DR, NCORR, etc. if applicable) Administrative & Coordination Functions Serve as a liaison between Project Managers, Pre-Con, Permitting, subcontractors, and internal departments Schedule inspections, site visits, and key project meetings Assist with subcontractor onboarding documentation (COIs, agreements, etc.) Maintain organized digital and physical project records (Buildertrend, Monday.com, etc.) Communication & Reporting Provide regular updates on project status, risks, and delays Escalate issues or bottlenecks to appropriate team members Support invoicing and documentation needs in coordination with accounting (AP/AR) Qualifications 1-3 years of experience in construction coordination, project support, or administrative roles Certified Notary Experience in residential construction, disaster recovery, or similar environment preferred Strong organizational and time management skills with attention to detail Ability to manage multiple projects and priorities simultaneously Proficiency in Microsoft Office (Excel, Word, Outlook); experience with project management tools preferred (Buildertrend, Monday.com, etc.) Strong communication and problem-solving skills Preferred Experience Familiarity with permitting processes and inspections Exposure to government-funded construction programs (CDBG-DR, FEMA, etc.) Experience working with subcontractors and construction documentation What We Offer Opportunity to be part of a mission-driven, growing organization Fast-paced, team-oriented environment Competitive compensation and benefits Career growth opportunities within construction and project management Ideal Candidate You are highly organized, proactive, and thrive in a support role that keeps projects moving forward.
