Job Description

Job Description CoolSys is seeking a Project Coordinator to support engineering-driven HVAC-R and construction projects from planning through closeout. You will coordinate schedules, track budgets, process submittals and RFIs, prepare reports, and maintain project documentation to keep field, engineering, and customer teams aligned. The role partners closely with project managers, vendors, and technicians to resolve issues quickly, ensure safety and quality standards, and meet customer timelines. This position is ideal for detail-oriented professionals who thrive in a fast-paced, technical, and collaborative environment with strong growth potential. Responsibilities Coordinate project schedules, milestones, and resource assignments for HVAC-R and construction projects. Track budgets, expenses, and change orders; assist with cost reports and forecasts. Prepare, process, and track RFIs, submittals, and other construction documentation. Maintain organized project files, drawings, and documentation for internal teams and customers. Support project managers with status reports, meeting notes, and action item follow-up. Facilitate communication between engineering, field technicians, vendors, and customers. Help ensure adherence to safety, quality, and compliance standards on all projects. Assist with procurement coordination, delivery tracking, and vendor/subcontractor follow-up. Monitor project risks and issues and escalate to project managers with recommended actions. Contribute to process improvements, templates, and tools to enhance project delivery efficiency.
