Job Description

The Construction Project Coordinator supports the planning, execution, and closeout of federal construction projects for a tribally owned SBA 8(a) small business. This role coordinates administrative, compliance, scheduling, and documentation activities to ensure projects are delivered on time, within scope, and in accordance with federal contracting requirements, company policies, and Tribal values. The ideal candidate is highly organized, detail-oriented, and experienced in supporting government-funded construction projects, including compliance with FAR/DFARS, Davis-Bacon Act, and agency-specific requirements. Requirements Project Coordination & Administration Assist Project Managers with day-to-day coordination of federal construction projects from pre-construction through closeout Maintain project documentation, logs, correspondence, RFIs, submittals, meeting minutes, and reports Track project schedules, action items, and deliverables to ensure deadlines are met In coordination with Project Management and the Proposal team, maintain a Proposal Log. Assist the Pre-Construction team, supporting research for new proposal development and post-award, setting up Accident Prevention Plans, Quality Control Plans and Environmental Protection Plan Templates for each new award. Manage and maintain project-related files, both physical and electronic, ensuring proper organization and confidentiality. Perform general administrative tasks, such as answering phone calls and responding to emails. Coordinate meetings with government representatives, subcontractors, inspectors, and internal teams Assists the Accounting team with Certified Payroll documentation Project Bidding Assist the Project Manager develop bidder lists in various geographic regions, by contacting and vetting and pre-qualifying subcontractors Federal Contract Compliance Support compliance with Federal Acquisition Regulation (FAR), DFARS, and agency-specific contract requirements Track and maintain certified payroll records in accordance with the Davis-Bacon Act Assist with preparation and submission of required federal reports (e.g., submittals, compliance documentation, closeout packages) Support Small Business and 8(a) program compliance requirements as applicable Subcontractor & Vendor Coordination Assist with subcontractor onboarding, documentation, and compliance verification Track insurance certificates, bonding, safety documentation, and other required subcontractor paperwork Coordinate material procurement tracking and delivery schedules Financial & Cost Tracking Support Assist with tracking project costs, change orders, and pay applications Support monthly progress billing preparation and invoice submissions to federal agencies Maintain records supporting audits and contract reviews Safety & Quality Support Assist in tracking safety documentation, toolbox talks, incident reports, and site compliance Support quality control documentation requirements per contract and agency standards Required Qualifications Associate's or Bachelor's degree in Construction Management, Engineering, Business Administration, or related field (or equivalent experience) 2+ years of experience in construction coordination, preferably on federal or government-funded projects Working knowledge of federal construction contracting requirements (FAR, Davis-Bacon, DFARS preferred) Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams) Strong organizational skills with exceptional attention to detail Ability to manage multiple priorities in a fast-paced project environment Preferred Qualifications Experience working with an SBA 8(a), tribally owned, or small business federal contractor Familiarity with project management software (e.g., Procore, Primavera P6, MS Project, or similar) Experience preparing or supporting federal construction closeout documentation Understanding of government invoicing and certified payroll systems Work Environment & Travel Office-based with periodic travel to federal project sites May require access to federal facilities and compliance with background checks or security requirements Benefits Covers 100% of employee benefit premiums, including Medical (PPO or HDHP Option), Vision, Dental Matching 401K Short- and Long-Term Disability Pet Insurance Professional Development/Education Reimbursement Parking and Transit Benefits for NY, NJ, ATL, and DC Metro areas
