Job Description
Project Administrator / Office Administrator Calm Construction LLC is seeking a dependable, organized, and motivated Project Administrator / Office Administrator to join our commercial construction team. This is a junior-level construction position that supports our Project Managers, Superintendents, and office operations. The ideal candidate is highly organized, takes initiative, follows through, and is interested in learning the commercial construction industry. Construction experience is preferred but not required for the right candidate. This position offers the opportunity to grow into an Assistant Project Manager and eventually Project Manager as experience and responsibilities increase. Job Responsibilities Assist Project Managers and Superintendents with daily project administration Maintain organized project files, drawings, specifications, and correspondence Assist with RFIs, submittals, change orders, purchase orders, and project tracking Collect and maintain subcontractor/vendor documents, including W-9s, insurance certificates, and lien waivers Assist with material orders, procurement, and delivery tracking Assist with monthly billing, pay applications, and project closeout documentation Keep Procore and project-management systems organized and current Prepare meeting minutes and track outstanding action items Coordinate documents and information between office and field personnel Answer and direct incoming calls and emails Assist with employee paperwork, onboarding, company records, and general office administration Communicate professionally with subcontractors, vendors, architects, owners, and project teams Occasionally visit project sites or attend project meetings as needed Requirements Strong organizational and time-management skills Excellent attention to detail Dependable attendance and punctuality Strong written and verbal communication skills Ability to manage multiple tasks and deadlines Working knowledge of Microsoft Outlook and Excel Ability to work independently after receiving direction Willingness to learn construction processes, terminology, and software Ability to take initiative and follow tasks through to completion Professional attitude and ability to maintain confidentiality Preferred Qualifications Previous administrative, project coordination, or construction office experience Commercial construction experience Procore or similar construction-management software experience Familiarity with construction documents or basic plan reading Construction Management, Business, or related education Procore experience is preferred but not required. Training will be provided. We are looking for someone who wants to become an important part of our team, learn the construction industry, and grow with the company.
Pay:
$20.00 - $26.00 per hour Expected hours: 40.0 per weekBenefits:
