Job Description

Schedule:
Full-time. Hybrid once trained — 3 days in the Carver office, 2 days from home. This is the job for the person who organizes everything — where being the most detail obsessed person in the room is the entire point of the role, not a habit your last employer merely tolerated. The Role We build accessory dwelling units — small, complete homes that families add to their property so a loved one can live close by, in their own space, with their own front door. Every one of those builds is a real family waiting on us to get it right. Our field project managers run the job sites. This role runs everything behind them. You are the person in the office who keeps every active project organized, documented, scheduled, and moving — so that when a field PM needs a permit, a signature, a delivery date, or an answer, it is already handled. If you are the one who color-codes the folders, catches the missing signature before anyone else does, and physically cannot leave an inbox at 400 unread — keep reading. This job was built for you.
Internal title once hired:
Inside Project Manager. You Will Build the System, Not Inherit It We are a small team with no bureaucracy and no layers to work around. You will have direct access to ownership, and real ownership of the systems you put in place. The checklists, templates, file structures and trackers you build become the way we run every project — not just the ones on your desk today, but the ones we are building three years from now. If you have ever looked at how a company handles its paperwork and thought "I could fix this in a month," this is the seat where you get to. A Winning Organization We are a design-build company focused on one thing: accessory dwelling units for Massachusetts families. We delivered the first ADU completed under Massachusetts' new Affordable Homes Act, taking a family from groundbreaking to move-in in roughly ten weeks — a timeline industry veterans called impossible. We build to a fixed price and a 100-day build guarantee from groundbreaking, and our work keeps multigenerational families together. Our standards are high, our timelines are real, and we are growing fast. That schedule only holds if the office side is airtight. That is this job. What You'll Own Project files and documentation Own the project file for every active build — contracts, change orders, permits, selections, invoices, photos, warranties. Filed the same way, every time, so anyone on the team can find anything in under a minute. Keep our project management software current — daily logs, to-dos, schedules, budgets, documents. If it happened today, it is in the system today. Support for the field Be the office-side partner to our field project managers. Prep their paperwork, chase what they need, and take everything off their plate that does not require standing on a job site. Close loops without being asked twice. Permits, inspections and town paperwork Track permits, inspections and municipal paperwork across multiple towns. Keep a live, accurate status on everyone — what is submitted, what is approved, what is waiting on us. Orders, deliveries and scheduling Track orders and deliveries. Know what is ordered, what has landed, and what is running late before anyone has to ask you. Schedule and confirm subcontractors, inspections and homeowner meetings. Homeowner communication Keep homeowners informed with clear, fast, written confirmations and updates. Write like a professional representing a company family are trusting with a major investment. Systems and standards Build and maintain the checklists, templates and trackers that make every project run the same way. Improve the system as you go — and document the improvement so it sticks. What We're Looking For Serious organizational skill. Not "pretty organized." The kind where you already have a system for your own life and it bothers you when other people don't. Attention to detail that borders on uncomfortable. You notice the wrong date, the transposed number, the address that doesn't match the permit. Genuinely fast and confident on a computer. Strong typing speed, strong Excel or Google Sheets, and the ability to learn new software quickly without being walked through it twice. Clear, professional written communication. Most of this job is writing. Follow-through. You close loops without being reminded. Capacity. Comfortable running 8-12 active projects at once without dropping any of them. Purpose. You want the work you do to actually matter to somebody. Requirements Three or more years in a role where you were responsible for keeping other people's work organized — project coordination, operations, office management, scheduling, legal or medical admin, or dispatch. The industry matters less than the track record. You currently live within a 45-minute drive of Carver, MA. This is firm. Relocation does not satisfy it. You can be in the Carver office at least 3 days per week. [
CONFIRM:
the first ___ weeks of training are fully in-office.] Helpful, but not required Construction, remodelling, architecture, engineering or trades background. Experience with construction project management software (JobTread, Buildertrend, Procore, CoConstruct or similar). Experience with Massachusetts building permits or municipal paperwork. Notary commission. What you do NOT need You don't need field experience, a construction degree, or the ability to swing a hammer. We will teach you the construction side. We cannot teach you to care about details — that part you bring with you.
