Office Manager About Us LEGACY is a growing residential design-build and remodeling company serving homeowners throughout the Carolinas. Our projects include kitchens, bathrooms, decks, covered porches, additions, and whole-home renovations. We are seeking a highly organized and proactive Office Operations Director & Materials Coordinator to manage our day-to-day office operations, support active projects, communicate with clients and vendors, and ensure materials are selected, ordered, tracked, and delivered on time. This is one combined position and an important leadership role within our company. The ideal candidate is dependable, confident communicating with others, comfortable managing multiple priorities, and willing to take ownership of tasks from start to finish. Primary ResponsibilitiesOffice Operations Manage daily office operations and maintain organized company systems Answer and return phone calls, emails, and client inquiries Enter and update leads, projects, notes, tasks, and documents in JobTread Track estimates, follow-ups, permits, selections, schedules, and project deadlines Maintain organized digital project files in Google Drive and JobTread Prepare documents, questionnaires, contracts, change orders, and project information Coordinate communication between the owner, clients, subcontractors, vendors, and office Keep the owner informed of urgent issues, upcoming deadlines, and decisions needed Develop and follow checklists, procedures, and standard operating systems Assist with calendar management, appointments, site visits, and project meetings Track subcontractor licenses, insurance documents, proposals, and required paperwork Materials Procurement Help clients finalize material and finish selections Request pricing and availability from vendors and suppliers Prepare material lists based on approved project scopes Obtain and organize quotes for cabinets, countertops, tile, flooring, plumbing fixtures, lighting, decking, and other materials Compare pricing, lead times, delivery costs, and product availability Prepare purchase orders and obtain approval before placing orders Order approved materials and confirm order details Track deposits, balances, delivery dates, backorders, and damaged or missing items Coordinate deliveries with the owner, project schedule, vendors, and jobsite Verify that materials are correct before installation Maintain organized records of selections, receipts, invoices, warranties, and product information Identify long-lead items early and communicate possible schedule concerns Client and Project Coordination Provide clients with professional and timely updates Schedule selection meetings and vendor appointments Document client decisions and obtain written approval when needed Follow up on outstanding selections, documents, payments, and decisions Help prepare projects for construction before they are added to the active schedule Maintain a clear list of next steps for every lead and active project Assist with permit applications and communication with local jurisdictions Help prevent delays by identifying missing information, materials, or approvals early Qualifications Experience in office management, operations, purchasing, construction coordination, or project administration Residential construction, remodeling, interior design, or material-selection experience is strongly preferred Excellent organization, follow-through, and attention to detail Strong written and verbal communication skills Comfortable speaking with homeowners, vendors, subcontractors, and government offices Ability to manage several projects and deadlines at the same time Comfortable learning and using cloud-based software Working knowledge of Google Workspace or Microsoft Office Experience with JobTread, QuickBooks Online, or construction-management software is helpful but not required Ability to compare quotes and understand basic measurements, quantities, and product specifications Willingness to ask questions and verify information instead of making assumptions Valid driver's license and reliable transportation for occasional vendor or jobsite visits The Right Person for This Position The right candidate: Takes ownership and follows tasks through completion Communicates problems before they become emergencies Keeps accurate notes and does not rely on memory alone Can create order and structure in a fast-moving environment Is comfortable holding clients and vendors accountable for deadlines Understands that material selections and purchasing directly affect project schedules Is professional, dependable, resourceful, and solution-oriented Enjoys helping a growing company improve its systems What We Offer An important role in a growing local design-build company Direct involvement in residential renovation projects Opportunities to improve systems and grow with the company A work environment where initiative and problem-solving are valued Compensation based on experience and qualifications
