Director of Operations About Genesis Hotel Services Genesis Hotel Services is a leading provider of hotel renovation, construction, and facility improvement solutions serving hospitality clients across the United States. We are seeking a highly motivated and experienced Construction Project Coordinator to support our Director of Operations and Project Management team while serving as a critical link between field operations and our corporate support functions. This is not a traditional administrative coordinator position. We are looking for a construction professional with strong project accounting experience who can independently identify issues, solve problems, ask the right questions, and drive accountability across project teams. The ideal candidate understands both construction operations and construction accounting and is comfortable partnering with Project Managers, Corporate Accounting, HR, Payroll, and executive leadership to ensure projects remain financially healthy, operationally compliant, and organized for success. Position Summary The Construction Project Coordinator serves as the primary operational and financial support partner to the Director of Operations. This individual will help remove day-to-day administrative and financial burdens from leadership while strengthening project controls, accountability, reporting accuracy, and communication between our Plano operations team and corporate headquarters in Ball Ground, Georgia. The successful candidate will be expected to proactively identify issues, investigate root causes, challenge assumptions when necessary, and help Project Managers maintain strong financial performance throughout the project lifecycle. Key Responsibilities Project Financial Management Review project budgets, forecasts, cost reports, and financial performance. Monitor project margins and identify cost overruns, billing issues, and profitability risks. Assist Project Managers in maintaining accurate cost-to-complete forecasts. Validate project financial data and investigate discrepancies. Monitor job costing and ensure expenses are coded properly. Analyze project financial trends and recommend corrective actions. Support monthly financial reporting and project reviews. Escalate significant financial concerns to operational leadership. Project Management Support Support Project Managers with project startup, execution, documentation, and closeout activities. Maintain project documentation, contracts, subcontracts, permits, insurance certificates, and compliance records. Track project milestones, action items, and deliverables. Coordinate internal communication between operations, accounting, and project teams. Assist in implementing and maintaining standardized project management processes. Accounts Payable Support Work with vendors, subcontractors, Project Managers, and HQ Accounting to resolve invoice discrepancies. Review invoices for accuracy and proper coding. Ensure purchase orders, commitments, and supporting documentation are complete. Follow up on missing approvals and payment-related issues. Help streamline invoice approval and payment processes. Accounts Receivable Support Monitor billing status and aging reports. Assist in resolving customer billing disputes and documentation requests. Support collection efforts by gathering project records and backup documentation. Help ensure change orders and additional work are properly documented and invoiced. Work with Project Managers to improve billing timeliness and cash flow. Payroll and HR Coordination Assist in resolving payroll coding and labor allocation issues. Support workforce documentation and employee records. Coordinate with HR regarding certifications, onboarding, compliance requirements, and personnel records. Review labor reporting and investigate discrepancies affecting project costs. Operational Accountability Help hold Project Managers accountable for: Budget management Forecasting accuracy Financial reporting Change order management Billing timeliness Documentation compliance Cost control Challenge assumptions when financial information does not align with project performance. Identify process gaps and recommend improvements. Assist leadership with reporting, analysis, and operational decision-making. Acumatica Administration & Support Serve as the primary Plano office resource for project and financial information within Acumatica. Review project setup for accuracy, including budgets, cost codes, billing schedules, and project structures. Assist Project Managers with Acumatica-related processes and reporting. Troubleshoot project accounting and transaction issues. Generate financial reports and dashboards from Acumatica. Support data integrity and process consistency across projects. Partner with Corporate Accounting to resolve system-related issues and improve workflows. Qualifications Required 5+ years of experience in construction project coordination, project accounting, construction administration, or project controls. Strong understanding of construction accounting principles.

Preferred Direct experience with Acumatica Construction Edition . Hospitality, commercial construction, facilities, or renovation experience. Experience supporting multiple Project Managers across various projects. Experience working in a fast-paced, growth-oriented construction environment. Associate's or Bachelor's degree in Construction Management, Accounting, Finance, Business, or related field. Communicates effectively with vendors, subcontractors, customers, and internal stakeholders. Facilitates productive collaboration between Plano operations and corporate headquarters. What Success Looks Like Within the first 12 months, the successful candidate will: Become the trusted operational and financial partner to the Director of Operations. Significantly reduce routine issues requiring leadership intervention. Improve project financial visibility and reporting accuracy. Strengthen accountability across the Project Management team. Help resolve AP, AR, Payroll, and project accounting issues more efficiently. Improve billing performance, collections, and project profitability.
