Assistant Project Manager This role is the hub of our organization. This person will be responsible for building relationships with our customers and our crews. On the task side, the Assistant Project Manager works with the Team to line up the people and resources needed to complete our projects. The
DUTIES AND RESPONSIBILITIES
Coordinates with crew leaders and superintendents to determine the resources needed to complete projects. Places order for miscellaneous materials, rental equipment, and subcontractors. Determines need for field staffing and staffing projections. Works with customers to schedule projects based on client needs, construction crew availability, and production variables. Maintains communication with customer from scheduling the work to compiling and sharing reports at the end of the project. Schedules individuals and crews for maximum efficiency then adapts and adjusts as needed. Problem solves as necessary to perform job functions. Project setup and coordination Set up estimates, job details, and schedules in the project management system. Ensure that all project documentation is accurate, complete, and readily accessible with photos and documentation. Field Team Support Ensure the field team has all necessary supplies, materials, equipment, and information needed to complete the project on time and within budget. Provide ongoing communication with the field team to address any issues or needs during project execution. Meet project deadlines, follow project from pre-construction to post-construction Client Documentation and Communication Provide clients with all required documentation, including W9 forms, Certificates of Insurance (COIs), and safety information. Maintain professional communication with clients, ensuring they are kept up to date on project status and receive all necessary reports and documentation. Review and ensure photos, captions, and progress reports are accurate before sharing them with clients in a timely manner. Assist in generating and reviewing project reports, ensuring data is correctly captured and aligned with client expectations and within budget. Tracking Time and Timesheets Track time worked on projects ensuring all time entries are accurate and properly recorded. Assist team members with timesheet completion, ensuring all hours are submitted in a timely manner and in accordance with project schedules. Coordinate with the accounting department to ensure proper billing and reporting of labor hours on client invoices. Equipment Tracking and Maintenance Track the repair, inspection, and schedules for project-related equipment. Coordinate with Yard Manager to ensure equipment is properly maintained and in good working condition for project use. Education/Experience High school diploma or its equivalent. 4+ years of experience in the construction field with construction project management experience Microsoft Office Suite (including proficiency in Excel) Build Ops, SafetyCulture and/or other project management software
