Apply Reconstruction Project Coordinator Waukesha, WI Apply Job Type Full-time Description Paul Davis Restoration is seeking a detail-oriented and organized Reconstruction Project Coordinator to support our Reconstruction Project Managers and Sales Estimators. This role is critical to keeping reconstruction projects on track by managing schedules, documentation, job costs, and system updates from start to finish. This position is ideal for someone who enjoys structure, accuracy, and collaboration—and wants to grow within a company that promotes from within. What You'll Do Monitor project progress and maintain accurate schedules to support target timelines Manage project files including contracts, change orders, work authorizations, permits, and closeout documents Track job costs, invoices, purchase orders, subcontractor billing, equipment, and material usage Input and maintain accurate project data in RMS, XactAnalysis, AlacNet, and other platforms Manage job documentation including notes, photos, required uploads, and compliance records Assist in securing contracts, change orders, supplements, and building permits Assist with creating and contouring work orders Review approved invoices and payment requests weekly to ensure alignment with budgets Track and report budget vs. actual costs to Project Managers and Sales Estimators Assist in acquiring Certificates of Satisfaction upon job completion Address customer inquiries promptly and professionally Participate in weekly coordination meetings with Project Managers and Sales Estimators Support compliance with company policies and industry requirement What We're Looking For Strong organizational skills with exceptional attention to detail Ability to manage multiple projects in a fast-paced environment Clear written and verbal communication skills Comfort working with project management software Construction, restoration, or project coordination experience preferred Why Join Paul Davis Restoration?
