$20.00-$22.00/hr

DOE Schedule:

Full-Time | Monday-Friday | 8:00 AM-5:00 PM Position Overview Key Staffing is currently seeking an organized and detail-oriented Bid Coordinator Assistant to support estimating and project management operations within a fast-paced construction environment. This position will assist with coordinating bid opportunities, maintaining bid documentation, communicating with subcontractors and vendors, and ensuring bid submissions are accurate, complete, and submitted on time. This is an excellent opportunity for someone with strong administrative and organizational skills who is comfortable managing multiple projects and deadlines. Key Responsibilities Assist with reviewing and tracking incoming bid invitations and project opportunities Maintain bid calendars and monitor deadlines, due dates, and addenda Review plans, specifications, bid instructions, and project documents Download, organize, and distribute plans, specifications, addenda, and other bid documents Assist estimators with quantity takeoffs, pricing information, and bid preparation as needed Prepare and send invitations to bid to subcontractors and suppliers Follow up with subcontractors and vendors regarding pricing, availability, and bid coverage Maintain and organize subcontractor and supplier quotes Compare quotations for review by estimators or project managers Track RFIs, clarifications, exclusions, and other bid-related information Assist with preparing bid proposals, forms, schedules, and supporting documentation Verify required documents, signatures, bonds, insurance information, and other bid requirements before submission Assist with electronic bid submissions and maintain confirmation records Maintain organized electronic and physical project files Communicate professionally with contractors, subcontractors, suppliers, vendors, and internal personnel Update estimating and project management databases or software Assist with post-bid follow-up and maintain records of awarded and non-awarded projects Provide general administrative and clerical support to the estimating department Qualifications High school diploma or equivalent required 1-3 years of administrative, construction, estimating, or related experience preferred Strong organizational and time-management skills Excellent attention to detail and accuracy Ability to prioritize and manage multiple projects and deadlines Strong written and verbal communication skills Proficiency with Microsoft Outlook, Excel, Word, and Teams Ability to learn construction estimating and bid-management software Ability to read and understand basic construction plans and specifications is a plus Dependable, professional, and able to work effectively independently and as part of a team Ideal Candidate The ideal candidate is highly organized, dependable, and detail-oriented with the ability to keep multiple bids and deadlines on track. They should be comfortable communicating with vendors and subcontractors, maintaining accurate documentation, and providing timely administrative support to estimators and project managers.
