is an established demolition, environmental, and industrial contractor located in Elgin, IL. We are looking for a highly organized, detail-driven Estimating Coordinator / Estimating Assistant to support our estimating department. This is a full-time, in-office position supporting four estimators in a fast-paced, deadline-driven department. This role is not a basic receptionist position. It requires strong data entry accuracy, follow-through, organization, professional communication, and the ability to manage multiple open items without constant reminders. The right person will be able to read instructions carefully, track deadlines, make follow-up calls, research missing information, ask smart questions, and complete repetitive administrative work accurately. What You'll Do Support four estimators with bid setup, bid tracking, document preparation, and deadline management. Review bid invitations, addenda, notices, and instructions to identify required forms, licenses, bonds, prequalification documents, deadlines, and submission requirements. Maintain accurate electronic folders, naming conventions, calendars, bid logs, contact lists, and project records. Prepare and update bid forms, proposal documents, prequalification packages, license/registration documents, and qualification materials. Verify that documents are complete, accurate, properly formatted, signed when required, and submitted according to instructions. Maintain bid databases, bid results, plan-holder information, follow-up logs, and department records. Use Microsoft Outlook, Word, Excel, Teams, online portals, CRM/database systems, and electronic file-management systems. Contact general contractors, owners, vendors, subcontractors, bonding representatives, and internal staff to obtain missing information. Make professional follow-up calls and document responses clearly. Help keep the estimating department organized, on schedule, and informed. What We're Looking For Excellent attention to detail and strong data-entry accuracy. Strong Microsoft Office skills, especially Outlook, Word, Excel, and electronic file organization. Ability to manage multiple deadlines, tasks, and follow-ups at the same time. Comfortable making phone calls and professionally following up when information is missing. Ability to read instructions carefully and apply them correctly. Strong written and verbal communication skills. Ability to retain training, take useful notes, follow procedures, and ask questions before guessing. Comfortable with repetitive but important administrative work. Ability to work independently while supporting a team. Prior experience with bid coordination, estimating support, construction administration, prequalification packages, licenses, registrations, compliance documents, or deadline-driven administrative work is strongly preferred. Experience with BuildingConnected, iSqFt, SmartBid, CRM systems, or similar platforms is a plus, but training will be provided.
Compensation and Benefits Salary range:
$65,000-$70,000 annually , based on experience and qualifications. Full-time, in-office position in Elgin, IL. Insurance benefits. 401(k) program. Nine paid company holidays.
