Position Overview We are seeking a highly organized and proactive Estimating Administrative Assistant to support our estimating department and subcontractor outreach efforts. This role plays a critical part in ensuring comprehensive bid coverage by coordinating with trade partners, maintaining accurate project records, and assisting with preconstruction activities. This role is ideal for someone who enjoys building relationships, communicating with people throughout the day, and staying organized in a fast-paced environment. This position is primarily office-based and involves frequent phone and email communication with subcontractors, vendors, and construction professionals nationwide. Core Responsibilities Phone Communication & Relationship Building Contact subcontractors via phone and email to invite them to bid on upcoming projects. Develop and maintain professional relationships with trade partners. Follow up with potential bidders to secure participation commitments. Communicate project requirements and deadlines clearly. Respond to subcontractor inquiries regarding project opportunities, requirements, and deadlines. Data Entry & Record Keeping Maintain detailed records of all subcontractor communications. Update project tracking systems with call outcomes and bid status. Enter new subcontractor information into the company database. Track which trades have adequate bid coverage for each project. Generate reports on solicitation activity and results. Administrative Support Organize and distribute project plans and specifications. Post projects to industry plan rooms and bidding platforms. Assist Lead Estimator with bid organization and coordination. Maintain an organized filing system for active projects. Support estimating team with various clerical tasks as needed. Required Qualifications Strong phone communication skills and comfort talking with people daily. Excellent organizational skills and attention to detail. Proficiency with computers, databases, and data entry. Professional phone manner and ability to build rapport with customers, vendors, and subcontractors. Basic understanding of office software (Excel, email, etc.). Reliable, punctual, and able to work independently. Preferred Qualifications Previous experience in construction, estimating, customer service, recruiting, inside sales, or administrative support. Familiarity with construction trades and terminology. Experience working in a fast-paced office environment. Success in This Role Includes Maintaining accurate project and bidder records. Consistently achieving strong subcontractor participation across all bid packages. Providing timely follow-up on active project opportunities. Supporting the estimating team in meeting proposal deadlines. Managing multiple projects and deadlines simultaneously. Maintaining professional verbal and written communication.
