Position Overview The Proposal Coordinator supports McPhee Electric's pursuit process by keeping proposals organized, complete, compliant, and moving according to established deadlines. This position coordinates proposal requirements, contributor assignments, supporting documents, and submission activities across the employees involved in pursuing new work. The role is well suited for someone who brings accuracy, organization, communication, and follow-through to deadline-driven work. The Proposal Coordinator will work with estimating, operations, and other internal contributors to assemble proposal materials, monitor requirements, identify outstanding information, and support timely submissions. The position also provides exposure to estimating and construction operations for an individual interested in developing broader industry knowledge and pursuing future career growth. What You'll Do Coordinate proposal schedules, requirements, assignments, and deliverables from initial pursuit through submission. Review proposal instructions and organize the information required to produce complete and compliant responses. Track deadlines, required documents, contributor assignments, outstanding information, and submission requirements. Partner with estimating, operations, and other internal contributors to collect proposal content and supporting materials. Organize proposal files and maintain accurate records for active, submitted, and completed pursuits. Support the preparation, assembly, review, and submission of proposal packages. Communicate deadlines, requirements, priorities, and outstanding actions to proposal contributors. Identify missing, incomplete, or inconsistent information and coordinate its resolution before submission. Maintain proposal templates, qualifications materials, and historical pursuit information as assigned. Support the transfer of relevant pursuit information following an award. Build familiarity with estimating, proposal development, and construction operations through practical experience and training. What You'll Bring Required Education, Certification and Experience Demonstrated ability to organize detailed information and manage multiple priorities and deadlines. Strong written and verbal communication skills. Ability to review instructions carefully and maintain complete, accurate documentation. Ability to coordinate work across multiple contributors and follow through on outstanding actions. Ability to produce professional, accurate work in a deadline-driven environment. Sound judgment when handling confidential or business-sensitive information. Preferred Education, Certification and Experience Associate's or bachelor's degree in Business Administration, Construction Management, Project Management, Engineering, Communications, Marketing, or a related field. Previous experience in proposal coordination, bid administration, project coordination, estimating support, document control, marketing coordination, or construction administration. Experience working for an electrical contractor, general contractor, specialty contractor, engineering firm, construction-management organization, or other project-based business. Familiarity with proposals, invitations to bid, bid submissions, procurement processes, or project lifecycle workflows. Experience coordinating deadlines and deliverables involving multiple contributors or departments. Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint. Exposure to construction drawings, specifications, addenda, requests for information, contracts, bid documents, or project documentation. Familiarity with document formatting, proofreading, quality control, or compliance reviews. Interest in developing a career in estimating, preconstruction, project management, proposal management, or construction operations. Supervisory Responsibilities None. Physical Demands The physical demands described are representative of those required to perform the essential functions of this position. The employee regularly remains in a stationary position and uses a computer, telephone, and other standard office equipment for extended periods. The role requires frequent communication, reading, reviewing detailed information, and repetitive hand and finger movements for keyboarding and document preparation. The employee may occasionally move about the office, reach, bend, or stoop and lift or carry files, proposal materials, or office supplies weighing up to 20 pounds. Visual ability sufficient to review electronic and printed documents is required. Working Conditions Work is primarily performed in a professional office environment using standard office equipment. The position involves frequent computer use, collaboration with multiple departments, and work under deadlines that may require managing changing priorities and periods of increased workload. The employee may occasionally travel to other company offices, project sites, meetings, or industry events. Visits to active construction sites may involve exposure to noise, dust, uneven surfaces, moving equipment, weather conditions, and other construction-related conditions and require compliance with site-specific safety rules and use of appropriate personal protective equipment. Occasional work outside normal business hours may be required to support proposal deadlines and submissions. Growth & Development This role provides an opportunity to build practical knowledge of McPhee Electric's proposal, estimating, and construction processes. Through collaboration with estimating and operations teams, the Proposal Coordinator will gain exposure to bid requirements, construction documents, pursuit planning, and the transfer of awarded work into operations. Based on demonstrated capability, business needs, and individual career interests, future development may include opportunities in estimating, preconstruction, project coordination, or assistant project management.
Pay:
$27.00 - $34.00 per hour Expected hours: 40.0 per week
