Job Description

Position Summary The Residential Estimator & Purchaser is responsible for developing accurate and complete construction estimates and coordinating the purchasing of materials, equipment, and subcontracted work for residential projects. This position supports projects from pre-construction through construction by reviewing drawings and specifications, preparing scopes and budgets, obtaining and leveling bids, issuing purchase orders and subcontracts, tracking pricing and lead times, and communicating with project managers, vendors, subcontractors, design staff, and management. The goal of the position is to establish reliable project costs, secure the correct materials and services at the right time, and help protect project schedule, quality, and profitability. Essential Duties and Responsibilities -
Estimating:
Review architectural drawings, specifications, selections, addenda, design-intent documents, and other project information to understand the complete scope of work. Prepare detailed residential construction estimates for new homes, additions, renovations, and other assigned projects. Complete quantity takeoffs and develop labor, material, equipment, subcontractor, allowance, and other project costs. Solicit pricing and proposals from subcontractors, suppliers, and vendors and ensure bidders are pricing the same scope. Prepare clear bid scopes and identify exclusions, assumptions, allowances, alternates, owner-supplied items, and items requiring clarification. Review and level subcontractor and supplier proposals for completeness, accuracy, scope gaps, duplicate coverage, and pricing differences. Maintain current unit costs, historical pricing, subcontractor pricing, vendor pricing, and estimating data for future projects. Identify constructability concerns, missing information, conflicting documents, and cost-impacting design decisions before final pricing. Assist with preliminary budgets, value engineering, cost-saving options, and pricing updates during pre-construction. Prepare final estimate information in a format that can be transitioned cleanly to project management, accounting, and purchasing. Participate in estimate reviews and pre-construction handoff meetings and clearly communicate project assumptions, risks, and outstanding items. Essential Duties and Responsibilities - Purchasing /
Procurement:
Purchase or coordinate the purchase of project materials, equipment, and subcontracted work in accordance with approved estimates, contracts, drawings, specifications, selections, and project schedules. Obtain competitive pricing when appropriate and evaluate cost, availability, lead time, quality, freight, delivery requirements, and supplier reliability before placing orders. Prepare and issue purchase orders and subcontract scopes with accurate quantities, pricing, project information, delivery requirements, and supporting documentation. Confirm all purchasing is consistent with approved budgets and obtain required approvals before committing the company to costs outside the approved estimate or purchasing authority. Track long-lead items and critical purchases; communicate required order dates, expected delivery dates, delays, substitutions, and backorders to the project team. Coordinate deliveries with project managers, field personnel, vendors, and suppliers to support the construction schedule and avoid unnecessary storage, re-delivery, or jobsite disruption. Verify order confirmations for correct products, quantities, pricing, delivery locations, and dates; resolve discrepancies promptly. Review substitutions and proposed product changes for cost and scope impact and obtain appropriate approval before ordering. Maintain organized purchasing documentation, quotes, purchase orders, confirmations, revisions, credits, and related correspondence in the company project-management system. Assist with vendor and subcontractor relationships, pricing negotiations, and development of reliable trade and supplier resources. Essential Duties and Responsibilities -
Cost Control and Project Coordination:
Compare committed and actual costs to the estimate and identify potential budget variances as early as possible. Communicate pricing changes, scope gaps, unforeseen cost impacts, and procurement risks to management and the project manager before commitments are made whenever possible. Support change-order pricing by obtaining subcontractor and vendor pricing and preparing accurate cost information. Coordinate with design and sales staff to confirm selections, allowances, specifications, and owner-supplied items that affect estimating or purchasing. Work with project managers and field personnel to answer scope questions and provide estimating and purchasing information throughout construction. Assist in maintaining current subcontractor and supplier information, including trade coverage, capabilities, pricing history, and performance feedback. Maintain confidentiality of company pricing, customer information, subcontractor proposals, estimates, and other proprietary information. Follow established company procedures for documentation, approvals, purchase orders, subcontractor requirements, and project file management. Knowledge, Skills and Abilities Strong understanding of residential construction methods, materials, sequencing, and trade scopes. Ability to read and interpret architectural drawings, details, specifications, schedules, selections, and related construction documents. Strong quantity takeoff, estimating, analytical, and construction math skills. Ability to compare bids and identify scope gaps, exclusions, inconsistencies, and unusual pricing. Strong organizational skills with the ability to manage multiple estimates, orders, deadlines, and project priorities at the same time. Strong written and verbal communication skills and the ability to communicate clearly with customers, vendors, subcontractors, coworkers, and management. Negotiation and problem-solving skills with sound judgment regarding cost, quality, schedule, and risk. Attention to detail and commitment to complete, accurate documentation. Proficiency with computers, spreadsheets, estimating software, and project-management software; ability to learn and consistently use company systems. Ability to work independently while coordinating effectively as part of the project team.
