Job Description

Estimator / Project Manager / Materials Coordinator Gemstone Construction Inc is a small, hands-on Custom Home Builder, public works, Commercial and Industrial company seeking a versatile professional who can manage projects from initial estimate through permitting, material procurement, and completion. However, knows how to handoff a project. This is not a narrowly defined position within a large company. Because we operate with a lean team, the right person must be comfortable wearing multiple hats, taking ownership, and keeping each project moving without relying on separate estimating, permitting, and purchasing departments. Key Responsibilities Review plans, specifications, scopes of work, and project requirements. Prepare accurate labor, material, equipment, subcontractor, and permit estimates. Perform quantity takeoffs using Bluebeam or comparable estimating software. Develop proposals, budgets, and project schedules. Submit permit applications and coordinate with city, county, and other local permitting departments. Track permit status, respond to correction notices, and provide required documentation. Create material lists directly from approved estimates and project plans. Request supplier quotes, compare pricing and lead times, and issue material orders. Coordinate deliveries so materials arrive in the correct quantities and at the appropriate stage of each project. Verify delivered materials and help resolve shortages, damages, substitutions, or discrepancies. Monitor actual project costs against estimates and identify potential overruns early. Maintain organized project records, including estimates, permits, purchase orders, change orders, invoices, schedules, and customer communications. Communicate with customers, field personnel, vendors, subcontractors, inspectors, and permitting officials. Use our CRM or project-management system to document activity and keep project information current. Assist with other project coordination and operational responsibilities as needed in a small-business environment. Required Qualifications Previous experience in construction estimating, project management, material procurement, or a closely related field. Ability to read and interpret construction drawings, plans, specifications, and scopes of work. Demonstrated experience producing complete and accurate estimates and material takeoffs. Working knowledge of the permitting process, including submitting applications and communicating with permitting departments. Experience ordering construction materials based on estimates, plans, and project schedules. Proficiency with Bluebeam or a comparable digital takeoff and estimating platform. Experience using CRM, estimating, or project-management software. Strong organizational, mathematical, communication, and problem-solving skills. Ability to manage multiple projects, deadlines, vendors, and permit requirements simultaneously. Comfortable working independently and making informed day-to-day decisions. Preferred Qualifications 5 years of relevant experience. Existing relationships with local suppliers and permitting departments. Experience with [General Construction] . Familiarity with job costing, purchase orders, change orders, scheduling, and budget tracking. Experience with software such as [Buildertrend, Procore, Jobber, Salesforce, HubSpot, or JobTred] . What Success Looks Like The successful candidate will be able to take a project from plans or an initial customer request and turn it into a clear estimate, a properly permitted job, and an accurate material order. Projects should enter the field with the necessary approvals, documentation, materials, and cost controls in place. This position is best suited for someone who is resourceful, accountable, detail-oriented, and comfortable working in a small-company environment .
